Head of Lower School Job Description:
Provide administrative support to ensure effective and efficient operation of the division.
Duties and Responsibilities:
Provide administrative support in a well-organized and professional manner under the direction of the Head of Lower School and coordinating with the other Lower School Administrators and all Administrative Assistants. Provide effective verbal and written communication, and maintain relationships with the members of the student body, parents/guardians, faculty and Staff, and the public. Assist the Head of Lower School with operation of the division by identifying and addressing needs proactively. Uphold a strict level of confidentiality for all information regarding students, faculty, and staff. Schedule and coordinate the Head of Lower School's and other Administrators' calendars and appointments. Manage routine office tasks (e.g. mail delivery, phone calls, email, ordering supplies, etc.). Develop/maintain division-specific office forms and ensure the current revision is available to faculty and staff. Maintain student records for attendance and pertinent information, including disciplinary referrals from faculty and staff. Maintain faculty and staff records for pertinent information. Maintain accurate attendance records and communicate attendance issues to the Head of Lower School and teachers. Create periodic attendance and disciplinary reports as requested. Collect and document tardy permission slips for students who arrive late. Process daily attendance requests by parents/guardians, ensuring accurate record keeping of email communications, medical appointment notes, and RenWeb data entry. Process division-specific financial paperwork (e.g. POs and Check Requests) and maintain accurate records. Provide assistance to faculty and staff and provide reports to the Head of Lower School as requested. Process Event Request Forms for approval and completion coordinating with faculty and staff, as applicable. Coordinate and co-manage with the Lower School Dean of Students for division-specific events, parent meetings, etc. Maintain current and accurate calendar entries for the division. Attend required calendar committee meetings and division-specific meetings. Work with facilities regarding division-specific issues (e.g. classrooms, lockers, HVAC, telephones, safety, maintenance needs). Process faculty absence requests and provide support for substitutes. Maintain division-specific teacher workroom supplies, copier, and equipment. Purchase all requested supplies for Lower School and maintain a record of purchases. Execute all administrative tasks related to field trips. Previous experience in office administration is considered an advantage. Strong organizational, problem-solving, and collaboration skills. Exceptional interpersonal skills. Lower level verbal and written communication skills. Excellent MS Office and Macintosh program knowledge. Operation of general office equipment. Possess a strong Christian testimony and be an active member of a Bible-believing church. Attend faculty devotions and commit to prayer for the school community. Serve as a positive Christian role model to our students and pursue Christ-like behavior. Be a responsible steward of the school's resources and personally support the school's fundraising efforts at a level as able. Perform related duties as assigned.
The ideal candidate can:
Occasionally lift to 30 pounds. Work in standard office conditions and climate. Work in varied extreme outside weather conditions during special activities and fundraising events, as needed. Perform in a highly stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts. Sit and stand for extended periods of time; bend, stoop, climb stairs, and reach overhead. Hear and understand speech at normal classroom levels, outdoors and on the telephone; speak in audible tones so that others may understand clearly in normal classrooms, outdoors, and on the telephone.
