This vital role offers an exciting opportunity to support construction projects through efficient office management, meticulous documentation, and exceptional customer service. As the backbone of our administrative operations, you will ensure smooth communication, streamline processes, and uphold high standards of professionalism. If you thrive in a fast-paced environment and possess a passion for construction and office excellence, this position is perfect for you! Duties Manage front desk responsibilities, including greeting visitors and directing calls with professional phone etiquette. Operate multi-line phone systems to handle inquiries promptly and efficiently. Maintain organized filing systems for project documents, contracts, and correspondence, ensuring easy retrieval. Perform data entry and bookkeeping tasks using Computer Ease to track expenses, invoices, and budgets accurately. Coordinate calendar management for project timelines, meetings, and appointments using Google Workspace and Microsoft Office tools. Support office management activities such as ordering supplies, maintaining office equipment, and overseeing clerical tasks. Proofread documents for accuracy and clarity before distribution; ensure all communications meet high-quality standards. Provide excellent customer support by assisting clients, vendors, and team members with inquiries or requests. Handle administrative duties like scheduling meetings, preparing reports, and managing personal assistant tasks as needed. Assist Estimator/Project Manager & Office Manager with Misc. Tasks Qualifications Proven experience in office administration or clerical roles within a construction or related industry preferred. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry platforms. Familiarity with Computer Ease for bookkeeping and financial tracking is highly desirable. Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment. Exceptional phone etiquette and customer service skills to foster positive interactions with clients and team members. Demonstrated attention to detail with proofreading capabilities to ensure error-free documentation. Experience managing multi-line phone systems, calendar coordination, filing systems, and office management procedures. Strong time management skills coupled with the ability to handle multiple responsibilities simultaneously. Join us in supporting our construction projects through dedicated administrative excellence!
