Job Description
C & J Specialties is a growing snack food manufacturing company looking for a highly organized, adaptable, and motivated Administrative Assistant to work directly with our Owner/CEO. This is not a traditional administrative position where every day looks the same. The person in this role will work closely with the Owner/CEO on a wide variety of projects, priorities, and day-to-day business needs. One day may involve communicating with customers and organizing documents, while another may involve researching a new project, building a spreadsheet, coordinating with employees, learning a new software program, or helping solve an unexpected problem. We are looking for someone who enjoys variety, learns quickly, communicates well, and takes satisfaction in figuring things out. What You'll Do Responsibilities will vary depending on the needs and priorities of the business, but may include: Assist the Owner/CEO with daily projects, priorities, and administrative needs Manage and organize multiple projects simultaneously Communicate professionally with customers, vendors, employees, and business partners Respond promptly to phone calls, emails, and text messages Create, organize, edit, and maintain documents, spreadsheets, PDFs, and business records Assist with scheduling, follow-up, research, data entry, and project coordination Use software such as Microsoft Office, Google Workspace, Gmail, Adobe Acrobat, Monday.com, and other business applications Learn new software, systems, and processes as needed Coordinate with employees and departments throughout the company Identify problems, research solutions, and help projects move forward Follow up on assignments and make sure important details do not fall through the cracks Assist with special projects as they arise The Person We're Looking For Because of the variety of this position, personality, communication style, and aptitude are extremely important.
The ideal candidate will be:
Highly organized Dependable and able to follow through on assignments Comfortable managing several projects at the same time A strong problem-solver Comfortable working independently when given an objective Able to work well with a variety of personalities Professional and friendly when communicating with customers and clients Comfortable communicating by phone, email, and text Able to respond to time-sensitive communications promptly Detail-oriented Comfortable using computers and learning new technology Teachable and willing to ask questions Able to adapt when priorities change Someone who takes initiative rather than waiting to be told every individual step Computer & Software Skills Candidates should be comfortable working with computers and have experience with programs such as: Microsoft Word Microsoft Excel Microsoft Outlook Adobe Acrobat Google Docs Google Sheets Gmail Experience with Monday.com or similar project-management software is helpful but not required. Training & Initial Evaluation Period On-the-job training will be provided. Because this position works closely with the Owner/CEO and involves a wide range of responsibilities, finding the right personality and skill fit is extremely important. The selected candidate will begin with a paid training and introductory evaluation period. During this time, both the employee and employer will have an opportunity to determine whether the position is a good long-term fit before transitioning into regular full-time employment. We are not expecting someone to walk in knowing everything. We are looking for someone with the right foundation, attitude, communication skills, judgment, and ability to learn.
