Job Description
Administrative Assistant Reports to: Operations and Finance Manager Full-Time | 12-Month Position | Hourly, Non-exempt Position Summary The Administrative Assistant (AA) supports administration, faculty, staff, students, and families and serves as one of the first points of contact for the school community. This role projects the mission, vision, and culture of Intermountain Christian School (ICS) through warm, professional, service-oriented front-office leadership. The AA welcomes students and families, responds to requests, manages phone and office communications, and supports daily school operations. Spiritual Qualifications Demonstrates a clear Christian testimony and a lifestyle that reflects biblical principles and Christian maturity. Supports the mission, vision, values, and religious convictions of Intermountain Christian School. Models Christian conduct in speech, attitude, relationships, dress, discretion, and work ethic. Displays humility, integrity, servant leadership, and a commitment to treating students, families, and colleagues with grace and truth. Participates appropriately in the school's spiritual life, including prayer, devotions, chapel, and other mission-aligned activities as requested. Educational Qualifications Associate's degree required. Bachelor's/Master's preferred or equivalent relevant office, school, or administrative experience. Experience in a school, church, nonprofit, hospitality, or customer-service setting preferred. Demonstrated proficiency with office technology, written communication, data entry, and organization preferred. Essential Job Functions Front Desk and Office Operations Welcome students as they arrive, greet families, and respond helpfully to parent and visitor requests. Answer phones, respond to emails, and direct callers, visitors, and written inquiries to the appropriate person. Provide support and direction for vendors and other guests. File student information and maintain organized front-office records. Input information for lobby and front-office slides and other basic communications. Manage attendance records for early childhood and elementary school students; assist the registrar with upper-school attendance as needed. Monitor front- and back-door security via camera, check in visitors through the school security system, and issue badges as needed. Administrative and Staff Support Assist administration, faculty, and staff with printing, laminating, crafts, communication, and other special projects. Support the Head of School with meeting scheduling, phone calls, other forms of communication, and projects as assigned at the Head of School's discretion. Coordinates and schedules substitutes as needed and serves as a liaison for substitutes by providing access to technology, classroom plans, directions, keys or badges, and basic orientation support. Communicate maintenance requests with the maintenance director and help facilitate follow-through as needed. Distribute reports and assist with routine administrative distribution tasks. Student Support Provide a welcoming, orderly, and student-centered environment in the front office. Administer prescribed or scheduled medications to students in accordance with school procedures and document the administration in the school information system (i.e., FACTS/RenWeb). Monitor sick and injured students and contact parents or guardians as needed. Assist with emergency lunches and forward billing information as directed. Ordering and Service Manage and fulfill order requests for the building and special programs. Manage returns and exchanges in coordination with department leads. Manage incoming and outgoing mail, postage needs, and related delivery support for all departments. Maintain the workroom by keeping supplies on hand and helping keep it orderly. Maintain the cleanliness and stocking of the teacher's lounge. Ensure that the sick room remains stocked with cleaning supplies, extra clothing for students, and medicine or related care items as permitted by school procedures. Confidentiality Support Handle sensitive personnel and school information with a high level of confidentiality, discretion, and professionalism. Follow established procedures and provide timely administrative support. Exercise sound judgment in handling confidential communications and documentation.

Additional Job Responsibilities Coordinate with departments as needed to help plan internal-facing ICS events and provide hospitality, including back-to-school events, athletic special events, poetry days, faculty events, and similar programs. Manage shopping, ordering, setup, cleanup, and laundry for internal-facing events as assigned. Order meals or hospitality items for School Board meetings, SAP meetings, Lead Teacher meetings, and similar gatherings. Provide flexible support for seasonal tasks, special projects, and other duties assigned in support of school operations. Ministerial Duties Support the school's religious mission by fostering a Christ-centered environment in all interactions and responsibilities. Integrate a biblical worldview into communications, service, problem-solving, and day-to-day support of students, families, and colleagues. Participate, as assigned, in prayer, devotions, chapel, and other spiritual-life activities of the school. Model Christian conduct and encourage students through kindness, truthfulness, self-control, respect, and consistency. Support the school's discipleship ministry by reinforcing school expectations, where appropriate, participating in ministry-oriented conversations, and encouraging students. Physical Requirements The employee must be able to perform the essential functions of the position, with or without reasonable accommodation, in a dynamic school environment. This position requires frequent movement between offices and other campus locations; the ability to sit, stand, walk, bend, and reach for sustained periods during the workday; and the ability to operate standard office and school equipment. The employee must be able to lift and carry routine materials, files, supplies, and other items typically associated with school operations, generally up to 25 pounds, and occasionally more with appropriate assistance. The employee must also be able to respond in a timely and appropriate manner to routine clerical, operational, and school-safety matters as they arise.
