GENERAL FUNCTIONS
The Administrative Secretary, Technology Site Specialist, and Registrar serves as the primary administrative professional in the school office and plays a critical role in ensuring efficient daily operations. This 29 ½ hour weekly part-time position provides leadership in office management while delivering high-quality customer service to students, staff, parents, and community members. The Administrative Secretary, Technology Site Specialist, and Registrar perform a wide range of administrative functions, technology-related services, and clerical duties. This is a part-time position, up to 29 ½ hours weekly, aligned with district employment guidelines.
ESSENTIAL FUNCTIONS
The Administrative Secretary, Technology Site Specialist, and Registrar is responsible for a variety of administrative and clerical duties essential to the success of the school: Administrative and Office Leadership Responsibilities Serve as the lead secretary and primary point of contact for the school office. Answer phones and respond to inquiries with professionalism and efficiency. Welcome and assist visitors, ensuring a positive and safe school environment. Manage incoming and outgoing mail, email, and documents. Maintain accurate student and school records in both digital and paper formats. Demonstrate strong working knowledge of Google Suite and/or Microsoft Office. Support administrators, teachers, and staff with clerical and organizational needs. Schedule appointments, meetings, and events; provide reminders and coordination support. Prepare agendas, correspondence, and take meeting minutes as needed. Order, organize, and maintain office and instructional supplies. Handle confidential information with a high level of discretion and professionalism. Manage and reconcile all school financial accounts in accordance with district policies. Perform other duties as assigned by administration. Technology Site Specialist Responsibilities Maintain student devices consisting of MacBook Neo laptops Prep devices for all standardized tests Assist staff with computers Update, troubleshoot, and maintain technology Willingness to learn new technology Work within District Technology Guidelines Registrar Responsibilities Manage School and Students' PowerSchool accounts. Assist students and families with the registration process. Coordinate efforts with school administration and staff from other schools. Update and maintain student transcripts. Track students' progress towards graduation.
QUALIFICATION REQUIREMENTS
All applicants must be fingerprinted and successfully pass a criminal background check. Minimum Qualifications High school diploma, GED, or equivalent (as reviewed by Human Resources). Previous office or administrative experience recommended; school-based experience preferred. Demonstrated leadership or capacity to manage front office systems preferred. Strong computer skills, including proficiency in Microsoft Office and/or Google Suite. Experience with financial recordkeeping, bookkeeping, or accounting is strongly preferred. Working knowledge of PowerSchool preferred. Excellent organizational, multitasking, and time management skills. Strong attention to detail and accuracy. Excellent communication and interpersonal skills. Ability to maintain confidentiality and professionalism at all times. Proven problem-solving skills and ability to work independently. References demonstrating integrity, reliability, and dependability. Competence in reading, writing, and basic math. Basic First Aid knowledge is helpful, with willingness to assist students as needed. Ability to build and maintain positive relationships with students, staff, and community members.
