Job Description
This position offers the opportunity to make a meaningful impact on student success by serving as a key resource within Utah Valley University's Student Success Center. As the Administrative Assistant, you will play an essential role in creating a welcoming and organized environment for students, faculty, and staff while supporting initiatives that help students achieve their academic goals. Through coordinating events, facilitating communication, and providing operational support, you will contribute directly to programs and services that enhance the student experience and foster academic achievement. Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, financials, and obtaining factual information requiring knowledge of policies/procedures of both assigned and work-related areas. Manages a team of student administrative support, including hiring, firing, training, onboarding, and performance management. Coordinates scheduling to cover front of office walk-in traffic, deliveries, etc. Directs the work of the student administrative team to ensure department administrative objectives are met, and administrative operations are efficient and effective. Manages, monitors, and tracks compliance with federal work-study regulations. Coordinates the preparation and submission of reports, publications, and newsletters. Coordinates department financial activities including timecards, ePAF's, ESAF's, new hire paperwork completion & submission, requisitions, purchase orders, travel, index tracking and reconciliation, budget balances, etc. Oversees ordering, receiving, billing, distributing, monitoring, and reconciling expenditures. Maintains inventory of office equipment and supplies. Reorders supplies when needed. Performs other miscellaneous duties as assigned. Graduation from high school or possession of an equivalent credential, plus four (4) years of administrative experience performing related duties and responsibilities.
