Capital Women's Care comprises over 150 OB/GYNs located throughout Greater Washington, DC, Northern Virginia, and Maryland. A busy, fast-paced Gynecologic Oncology practice is seeking a highly organized, proactive, and detail-oriented Operations Coordinator to provide comprehensive administrative support to the Practice Administrator, Clinical Supervisor, physicians, and leadership team. The Operations Coordinator supports daily administrative and operational functions within a busy Gynecologic Oncology practice. This role combines administrative support, physician credentialing, onboarding coordination, front-office workflow assistance, financial reporting support, project coordination, and IT liaison responsibilities. The Operations Coordinator enables efficient practice operations, regulatory compliance, and a positive patient and staff experience while supporting operational initiatives and special projects across the practice. The ideal candidate is highly organized, able to manage multiple priorities simultaneously, maintains strict confidentiality, exercises sound judgment, and enjoys working in a collaborative healthcare environment. Job Summary We are seeking a highly organized and proactive Operations Coordinator to oversee and streamline our logistics and supply chain processes. The ideal candidate will possess extensive experience in logistics management, inventory control, and warehouse operations. As an Operations Coordinator, you will ensure efficient transportation planning, compliance with safety regulations, and optimal coordination across all supply chain activities to support our healthcare services. Duties Provide administrative support to the Practice Administrator, Clinical Operations Manager, physicians, and leadership team. Coordinate leadership meetings, physician meetings, interviews, administrative appointments, and provider calendars, including preparation of agendas, presentations, and meeting minutes. Oversee physician credentialing, licensing, DEA registrations, NPI updates, board certifications, hospital privileges, and payer enrollments. Maintain provider credentialing files and monitor expiration dates for all required licenses, certifications, hospital privileges, and payer enrollments. Prepare and submit credentialing applications, renewals, hospital privilege requests, and supporting documentation. Assist with recruiting activities, including job postings, resume review, interview scheduling, candidate communication, onboarding coordination, and new employee orientation. Coordinate employee onboarding by facilitating access requests, equipment setup, required documentation, and orientation schedules. Assist the Practice Administrator with collecting documentation and coordinating employee 90-day, annual, and performance evaluations. Maintain confidential personnel files, provider records, credentialing documentation, and administrative records while ensuring confidentiality and compliance. Assist the Clinical Operations Manager with staff schedules. Support provider schedule template creation, updates, and administrative adjustments. Serve as a designated NextGen superuser by working PAQs, EWNDs, and assisting staff with system questions and troubleshooting. Serve as the primary liaison with the Information Technology department for hardware, software, access requests, and technology-related issues. Provide front desk coverage during staffing shortages or operational needs, including insurance verification, co-pay collection, billing inquiries, and supporting efficient patient flow. Occasionally, this may require travel to remote locations. Pre-audit charts, manage patient records, and help ensure compliance with HIPAA and practice standards. Assist with daily bank deposits, accounts receivable/payable support, and monthly and quarterly financial reporting. Monitor office supply inventory, order supplies, coordinate equipment repairs, vendor communications, and office service requests. Support marketing initiatives, physician engagement activities, employee recognition programs, educational events, holiday celebrations, and staff engagement initiatives. Coordinate operational improvement initiatives, workflow optimization projects, and other special projects assigned by leadership. Coordinate multiple operational projects simultaneously while managing competing priorities and deadlines. Perform general administrative duties including scanning, filing, copying, correspondence, document preparation, and maintaining departmental policies, forms, and organizational documents. Perform additional administrative duties and special projects as assigned by leadership.
