Radford, VA Position Summary We are seeking a professional, organized, and customer-focused Office Assistant to support the daily operations of a busy financial planning office. This role is essential to creating a welcoming client experience while ensuring the office runs efficiently. Key Responsibilities Greet clients and visitors in a professional and friendly manner. Answer and direct incoming phone calls and respond to general inquiries. Schedule client appointments and maintain advisor calendars. Prepare meeting materials, client files, and required documentation. Maintain accurate client records and update information in the client management system. Assist with new account paperwork, document processing, and follow-up on outstanding items. Coordinate client communications, including appointment reminders and follow-up correspondence. Manage incoming and outgoing mail, scanning, filing, and document organization. Order and maintain office supplies and ensure the office remains organized and presentable. Support client events, seminars, and other office initiatives as needed. Perform general administrative duties while maintaining confidentiality and compliance with applicable policies and procedures. Qualifications High school diploma or equivalent required; associate degree preferred. Previous administrative, receptionist, customer service, or office support experience preferred. Strong proficiency with Microsoft Office (Word, Excel, Outlook, and Teams). Excellent verbal and written communication skills. Strong organizational skills with exceptional attention to detail. Ability to prioritize multiple tasks and meet deadlines. Professional demeanor with a commitment to providing outstanding customer service. Ability to handle confidential information with discretion.
