JOB SUMMARY
The Administrative Assistant is expected to be a person of high moral character who has an appreciation and love for the task of the Church as an extension of Jesus Christ's ministry in the world. The Administrative Assistant shall see her/his role as one of showing genuine care and concern for the spiritual needs of those in the congregation and maintain a high level of professionalism, organization, and interpersonal skills.
I. ORGANIZATIONAL RELATIONSHIP
The Administrative Assistant reports directly to the Lead Pastor and serves at the discretion of the StaffParish Relations Committee. This role also collaborates with the Finance Chair and an external Bookkeeping service.
II. PRINCIPAL FUNCTIONS AND RESPONSIBILITES A.
Coordinates the maintenance of the master Church Calendar, maintaining confidential conversations, counseling visits, and records. B. Maintains permanent church records of membership, baptisms, weddings, deaths, and other information required by the Virginia Annual Conference of the United Methodist Church. C. Manages the maintenance of all office equipment (printers, copiers, computers, etc.) D. Develops and monitors all office related budgeted line items and coordinates the purchasing of all office supplies. E. Prepares membership Charge Conference reporting. F. Develops, organizes, and executes ongoing project work in coordination with the Lead Pastor. G. Develops communication strategies with the Lead Pastor and coordinates communications planning and goals. H. Creates, edits, and proofreads a variety of communications. I. Assists with design and updates of church website including the production of promotional videos and pictures. J. Performs necessary church errands with personal vehicle such as delivering mailings, bank visits, onsite purchases, etc. K. Attends and positively participates in staff and communication meetings. L. Performs other related office duties as requested or directed by the Lead Pastor and SPRC M. Coordinates with Lead Pastor on the annual church stewardship campaign; prepares multiple mailings and communications N. Obtains and records pledges made during the annual stewardship campaign; provides updates to the Lead Pastor and Finance Chair, utilizing online software and other accounting resources. O. Develops the annual Church Operating Budget with assistance from various ministry areas, the Lead Pastor, Finance Chair, and Bookkeeper. P. Maintains columbarium records, collects payments, and orders plaques for niches and memorial wall. Q. Attend Church Council meetings and serve as secretary, generating meeting minutes. R. Maintains and produces an annual Church Directory with updated contact information for church members and friends S. Digitize church records and securely discard outdated documents in consultation with the Lead Pastor and Finance Chair.
IV. QUALIFICATIONS A.
Significant experience managing and working in an office setting. B. Must possess personal characteristics necessary for working with church staff, members, and visitors C. Ability to recruit and train volunteers D. Must have excellent written and verbal communication skills, time management, and organizational skills E. Intermediate to advanced knowledge of Microsoft Office platforms required (including Outlook, Word, Excel, and Power Point) F. Experience using various software and web-based platforms such as QuickBooks, Adobe, Google Calendar, BREEZE, Bluehost, etc. G. Must have experience and be proficient in general bookkeeping procedures, computer-based financial processing, computer-based word processing and payroll procedures H. Must have sufficient job experience to demonstrate and perform the above listed job responsibilities I. Knowledge of the United Methodist Church and the organizational structure of a United Methodist congregation J. Experience and proficiency creating social media content across a variety of platforms
V. POSITION DESCRIPTION REVIEW
This position description is to be reviewed at least annually and revised according to the needs and opportunities which exist at that time
Pay:
$18.00 - $22.00 per hour
