Administrative Assistant - Human Resources (Temporary Position)
POSITION OVERVIEW
Central Kitsap School District is seeking a professional, equity-focused Administrative Assistant of Human Resources to provide high-level administrative and operational support to Human Resources leadership, District administrators, and staff. This temporary position supports a collaborative, responsive, and positive work environment across the District. The Administrative Assistant demonstrates a commitment to the District's mission, vision, core values, and strategic goals through collaborative and inclusive practices, with a passion for supporting the work of helping students and staff discover their passions and achieve their dreams. This position actively participates in and helps lead department operations in a fast-paced environment requiring exceptional organization, professionalism, discretion, adaptability, sound judgment, and customer service skills. Responsibilities include coordinating and supporting District-level Human Resources functions such as recruitment, employee communications, records management, reporting, policy support, and compliance with federal and state employment laws and regulations. The successful candidate demonstrates strong organizational and problem-solving skills, attention to detail, initiative, and the ability to manage multiple priorities while maintaining strict confidentiality in an environment with frequent interruptions and changing demands. A skills assessment may be administered as part of the selection process. This is a temporary position that may involve varied assignments and responsibilities based on departmental and operational needs.
REQUIRED MINIMUM QUALIFICATIONS 1.
High school graduation or equivalent and five years of increasingly responsible secretarial experience. 2. Demonstrated ability to maintain confidentiality and exercise sound judgment in sensitive situations. 3. Strong organizational, communication, and customer service skills. 4. Ability to manage multiple priorities and work effectively in a fast-paced environment with frequent interruptions. 5. Experience conveying a positive presence while maintaining effective public relations using courtesy, tact, discretion, and professionalism. 6. Demonstrated knowledge, skills, and experience in the following areas:
  • Keyboarding at 60 wpm.
  • Strong ability to operate computers, peripherals, and software programs including Microsoft Outlook, Word, Excel, and PowerPoint.
  • Proficiency with Google Suite including Google Drive, Sheets, Docs, Forms, and Google Classroom.
  • Experience with HRIS and Absence Management Systems.
  • Willingness and ability to learn additional software programs as needed.
  • Experience with budgets and financial reports.
  • Comfort with and eagerness to learn and integrate new technology into office management practices.

Demonstrated ability to:
  • Lead support staff in a collaborative, growth-oriented manner.
  • Research school employment practices, laws, and regulations.
  • Read, understand, and explain components of collective bargaining agreements.
  • Review and edit documents for grammar, spelling, and English usage.
  • Organize, prioritize, and coordinate short- and long-term projects.
  • Demonstrate initiative and follow-through in all areas of responsibility.
  • Utilize strong communication and team-building skills.
PREFERRED QUALIFICATIONS 1.
Executive secretary or administrative assistant experience. 2. Familiarity and experience in public school systems. 3. Experience working in a customer-service driven, increasingly responsible position in a busy office setting. 4. Significant multicultural experience. 5. Experience supporting recruitment, onboarding, or other Human Resources functions in an educational or public-sector environment.
ESSENTIAL FUNCTIONS
The Administrative Assistant for Human Resources supports Human Resources leadership, District administrators, employees, applicants, and community members while maintaining a professional, responsive, and confidential office environment. Responsibilities may include, but are not limited to: 1. Serve as administrative assistant to the Assistant Superintendent and Director, providing all needed support:
  • Manage complex calendars and schedules for meetings, interviews, and events.
  • Compose and produce confidential executive-level correspondence and maintain confidential records.
  • Screen and prioritize mail and communications requiring review or action.
2. Respond to telephone, email, and in-person inquiries in a professional and courteous manner. 3. Support online substitute payroll processing, including leave and substitute pay reporting. 4. Maintain bookkeeping records, budget reports, purchase reconciliations, and budget tracking. 5. Establish and maintain efficient filing systems. 6. Support the work of the HR specialists as a collaborative member of the exempt team. 7. Successfully manage multiple assigned tasks in a demanding environment. 8. Respond to applicant and employee inquiries in a timely and professional manner. 9. Lead and support the HR Leadership Team in revising School Board policies and procedures based on WSSDA updates. 10. Prepare documents and materials for School Board meetings and presentations. 11. Support recruitment activities including advertisements, event registration, material preparation, scheduling, and travel coordination. 12. Provide coordinated support to building staff and administrators. 13. Assist with meetings, recordkeeping, and department projects as assigned. 14. Maintain a high level of productivity, professionalism, accuracy, and attention to detail. 15. Establish and maintain effective and positive working relationships with staff, association leadership, students, families, and community members. 16. Work effectively under pressure with frequent interruptions and changing priorities. 17. Demonstrate flexibility in work hours, including evening or weekend work as needed. 18. Demonstrate strong problem-solving skills and proactively anticipate department needs. 19. Uphold and assist in enforcing school rules, administrative regulations, and School Board policy. 20. Take all necessary and reasonable precautions to protect students, equipment, materials, and facilities. 21. Utilize multiple communication and technology systems including computers, electronic mail, web-based systems, and related technology resources. 22. Perform related duties as assigned.
WORKING CONDITIONS
Work is performed primarily in an office environment requiring frequent communication and interaction with employees, administrators, applicants, and community members. The position requires the ability to manage multiple priorities simultaneously, maintain confidentiality, and respond effectively to frequent interruptions and changing demands. Occasional evening or extended work hours may be required to support operational needs.
