Position Type:
Full-Time Pay:
$25/hour Position Overview This role serves as the first point of contact for clients of both Prism Capital Management and Prism Tax & Acccounting Services, while keeping the office running smoothly behind the scenes. You will answer and route phone calls for both firms, manage client scheduling, and play a critical role in our tax workflow by capturing and scanning client documents so our tax preparers can access them digitally. You will also own day-to-day office management. This is an ideal role for someone who is warm and professional with clients, highly organized, and takes pride in getting the details right every time. Key Responsibilities Reception & Client Service Answer, screen, and route incoming phone calls for both Prism Wealth and Prism Tax Greet clients and visitors, creating a welcoming and professional first impression Respond to routine client inquiries and direct questions to the appropriate team member Manage general email inboxes and voicemail for both firms Scheduling Schedule and confirm client appointments for advisors and tax preparers Manage multiple calendars, coordinating across both firms to avoid conflicts Send appointment reminders and handle rescheduling requests Help manage the appointment flow during peak tax season Document Management Receive, capture, and scan all client-provided documents (tax records, statements, forms) into our digital systems Organize and file digital documents accurately so tax preparers can access them quickly Track incoming documents against client checklists and follow up on missing items Always maintain confidentiality and careful handling of sensitive client information Office Management Order and maintain office supplies and equipment Coordinate with vendors, building management, and service providers Handle incoming and outgoing mail, packages, and deliveries Keep common areas, conference rooms, and reception organized and client-ready Support the team with administrative projects as needed Required Qualifications Prior experience as a receptionist, administrative assistant, or office support role Proficiency with Microsoft Word and Excel Exceptional attention to detail and accuracy, especially when handling client documents Strong organizational skills and the ability to manage competing priorities Professional phone manner and clear written and verbal communication Discretion and good judgment when handling confidential client information Reliable, punctual, and comfortable being the go-to person for a busy office Preferred Qualifications Experience in financial services, tax, accounting, or other professional services office Familiarity with scheduling software and document scanning/management systems Comfort learning new software and office technology Compensation & Benefits $25/hour Full medical and dental benefits If you're looking to bring your organizational talents to a dynamic team, we'd love to hear from you!
