Overview We are seeking a dynamic and highly organized Administrative Support Specialist to join our team. Responsibilities Manage front desk operations, including greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy. Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and Google Workspace and clinic specific software. Handle calendar management for team members, scheduling appointments, meetings, and coordinating event logistics efficiently. Provide exceptional customer support by addressing inquiries via phone or email promptly and professionally while maintaining excellent phone etiquette. Oversee office supplies inventory, order necessary materials, and ensure the workspace remains organized and well-maintained. Qualifications Proven experience in administrative support roles with strong clerical skills. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Strong computer literacy with familiarity in data entry, spreadsheets, and productivity software. Exceptional communication skills, including phone communication and client interaction; bilingual abilities are a plus. Experience with multi-line phone systems, front desk duties, and customer service is highly desirable. Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required.
