Job Description

Exempt Position Summary The Administrative Assistant at CDK Construction is a primary point of contact for the corporate office, handling communications with clients, subcontractors, vendors, and field personnel. This position reports directly to the Senior Administrative Assistant. This role requires strong organizational skills and the ability to manage time-sensitive construction documents and schedules while maintaining a professional office atmosphere that reflects the high standards of CDK Construction.
Key Responsibilities Communication & Field Coordination:
Answer, screen, and direct high volumes of incoming phone calls, frequently coordinating between the office staff, project managers, and active job sites. Serve as the communication hub for subcontractors and vendors. Manage general email inquiries and ensure urgent field requests are routed immediately.
Administrative and Documentation Support:
Assist the Project Administration team with basic data entry for things like time cards, expense reports, and job cost tracking. Manage and coordinate the printing and distribution of construction plans and large-format documents.
Reception & Guest Management:
Warmly welcome all visitors, including potential clients, architects, engineers, and sales representatives. Maintain a secure log of all visitors and ensure compliance with office safety protocols. Help maintain the organization and professional appearance of the lobby, kitchen, and meeting rooms.
Office Operations:
Sort and distribute incoming mail, prioritizing invoices and contract documents. Coordinate outgoing courier services for urgent documents. Manage and order office supplies, personal protective equipment (PPE) for the office, and breakroom inventory.
Required Skills & Qualifications Experience:
Proven experience (1+ years preferred) in a customer service or administrative role, preferably within the construction, engineering, or architecture industries.
Technical Proficiency:
Proficient in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with construction management software (e.g., Procore, Timber scan) or document management systems is a significant advantage.

Proven ability to handle multiple tasks simultaneously and prioritize urgent communications from job sites.
Professionalism:
A dependable and professional demeanor, comfortable interacting with high-level clients and field workers alike.
Accuracy:
High level of attention to detail necessary for handling sensitive documents and contracts.
Physical & Scheduling Requirements Work Schedule:
This is a Full-Time position, working Monday through Friday, 7:00 AM to 4:00 PM with a one-hour unpaid lunch break. Ability to sit or stand for extended periods. Ability to occasionally lift and handle large packages (e.g., boxes of plans, office supplies).
Pay:
$17.00 - $22.00 per hour
