WFD/CCS Office Assistant Salary $55,176.88 Annually Location Lakewood, WA Job Type Full-time, regular Job Number 2627CL05 Direct Report Unit Student Success Department Workforce Development Opening Date 04/29/2026 Closing Date 5/18/2026 11:59 PM Pacific FLSA Non-Exempt Bargaining Unit CL Description Benefits Questions Position Objective This position supports the college mission of educating tomorrow's workforce through support of Workforce Development and Career & Community Services activities serving students utilizing these department supports. The Office Assistant will provide customer service, triage student, employer, and community partner needs, respond to general inquiries regarding WFD and CCS programs and services, maintain student files and records, answer multi-line phones, respond to voicemails and emails, and assist with related WFD and CCS projects. While the full annual salary range for this role is $55,176.88 to $72,009.67, successful candidates are typically hired at the beginning of the salary range (Level D, Step 3) and receive scheduled salary increment increases in accordance with the applicable Collective Bargaining Agreement. This position is represented by the Clover Park Federation of Classified Employees, Local 4789. Duties and Tasks (Essential Functions)
Duty:
Student Support/Customer Service Tasks include: Greet visitors to Workforce Development and Career & Community Services offices. Triage student, employer, and community partner needs and appropriately refer to next steps, services, or staff. Serve as a point of contact for employer and industry inquiries and referrals related to student employment, internships, and career services. Respond to inquiries from WorkSource and workforce partners, providing initial intake information and assisting with scheduling appointments as appropriate. Coordinate referrals and communications related to employer, industry, and workforce partners in collaboration with Career and Community Services staff. Assist students with scheduling appointments with WFD and CCS staff. Answer multi-line phones, return calls and voicemails, and place calls as needed to students, faculty, staff, employers, and community partners. Monitor WFD and CCS general emails and respond to inquiries or refer to appropriate staff as needed. Manage the college job board, including review and determine job and internship postings, and responding to employer and student inquiries related to system use. Assist WFD and CCS staff with implementation of Worker Retraining, WorkFirst, BFET, Opportunity Grant, Early Achievers Grant, Passport, and other related eligibility programs by providing general information to students about eligibility requirements and application processes. Build and maintain professional, courteous, and efficient relationships with instructors, college staff, students, members of the public, employers, and business organizations. Provide general information regarding on and off campus resources and services.Duty:
General clerical/office duties and administrative support Tasks include: Prepare intake application materials and handouts for the WFD and CCS offices as needed. Type correspondence, photocopy, scan, and email as required. Create and maintain shared files and other electronic spreadsheets as needed. Maintain WFD and CCS outreach materials and travel bags. Assist the WFD Director with relevant projects, other duties as assigned.Duty:
File Management Tasks include: Review WFD and CCS paper and electronic intake packets for completeness; maintain student files and records accurately and efficiently based on all WFD and CCS funding grant standards. Maintain student files on a monthly basis to ensure they are neat, complete, and orderly in accordance with the filing system used. Adhere to FERPA regulations with regard to student personal information and DSHS confidentiality requirements. Assist WFD Director and Assistant Director with preparation of student files and records for archive in accordance following all WFD and CCS funding grant standards, SBCTC, and CPTC policies and procedures.Duty:
Contribute to college strategic plan, enrollment plan, and various Department and Division goals/outcomes Tasks include: Seek and participate in professional development opportunities Participates in equity, diversity and inclusion efforts to help eliminate equity gaps Assists with data reporting Attend and actively participate in department, division, and shared governance meetings. Attend conferences, training, and other college-related events as requested by supervisor. Conduct college outreach as appropriate.
