We are seeking a dynamic and energetic administrative assistant to provide essential support to a fast-growing team focused on developing advanced technologies. In this role, you will be instrumental in ensuring the smooth operation of daily activities, directly enabling executives and teams to focus on their core mission and contribute to groundbreaking advancements. You will play a crucial role in maintaining efficiency and fostering a collaborative environment within a team that supports the development of advanced technologies.
  • Key Responsibilities:
  • Supporting a senior leader with calendar management, including travel arrangements.
Proactive scheduling, detailed coordination and preparation, making decisions on shifting business priorities to ensure accurate scheduling and appropriate allocation of time, and managing all expense reports. Partnering and collaborating with administrative teams and various organizational departments, including human resources, staffing, finance, and facilities for space management. Managing team headcount, tracking open positions, creating requisitions, onboarding new hires, and utilizing relevant headcount management tools. Maintaining communication lists. Managing space allocation, anticipating potential compression issues, scheduling individual moves, and assisting with group moves. Purchasing equipment for new hires and refreshes. Tracking assets, updating custodians, cost centers, and managing equipment transfers. Reviewing operating budgets and spend, identifying potential overages and issues. Collaborating with finance to ensure reporting accuracy. Acting as an interim approver on team expense reports, ensuring correct coding. Organizing and planning off-sites and morale events, and collaborating on team and organizational events, including large-scale meetings and other special occasions. Understanding business rhythms and project cycles to effectively plan events and meetings, anticipate expenditures, and provide support aligned with current business needs.
  • Required Qualifications:
  • Minimum of 4 years of demonstrated successful administrative experience in a fast-paced administrative capacity.
High-level calendaring experience. Strong verbal and written communication skills to support working with team members in various locations. Detail-oriented with strong problem-solving and troubleshooting skills. Strong cross-team collaboration skills. Ability to be flexible and work quickly and efficiently in a fast-paced environment. Ability to react with appropriate urgency to situations and requests. Must be able to maintain confidentiality and use discretion and judgment at all times. Exercise sound judgment, tact, diplomacy, integrity, and professionalism in all communications. Ability to lift and move standard office equipment (i.e., computers and peripherals).
  • Preferred Qualifications:
  • Proficiency with advanced administrative tools, including those for calendaring, human resources, and space management, is preferred. Very recent administrative experience within a large technology organization. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
