Job Description

Aquent Talent is seeking an experienced Administrative Assistant 4 to support senior leaders within our professional, scientific, and technical services teams. In this role, you will manage complex calendars, coordinate meetings and virtual events, prepare reports and presentations, and handle confidential correspondence. You'll streamline workflows, track action items, and maintain organized digital records. You will also assist with travel arrangements, expense reports, and basic data entry in CRM and HR systems. This role is ideal for a detail-oriented self-starter who thrives in a fast-paced, people-first, and highly collaborative environment. Responsibilities Provide high-level administrative support to senior leaders Manage complex calendars, meetings, and virtual events Prepare, edit, and format reports, presentations, and documents Handle confidential information and correspondence with discretion Coordinate travel arrangements and process expense reports Maintain organized digital files, records, and databases Support basic data entry and tracking in CRM and HR systems Monitor action items, deadlines, and project status for leaders Serve as a point of contact for internal and external stakeholders Identify opportunities to improve administrative processes and efficiency Required Skills Advanced Microsoft Office (Outlook, Word, Excel, Power Point) Calendar and meeting management Travel and expense management tools (e.g., Concur, SAP Concur) Document formatting and presentation design Digital file and records management CRM or ATS software (e.g., Salesforce, Bullhorn) Video conferencing platforms (Zoom, Teams, Webex) Data entry and basic reporting Email and communication management Project and task tracking tools (Asana, Trello, or similar)
