Job Description

Job Summary We are seeking a Project Assistant/Administration professional for a direct hire opportunity with a construction-focused organization in Redmond, WA. This role is ideal for a highly organized administrative support professional who enjoys proposal coordination, marketing support, document preparation, and working closely with technical project teams. The Project Assistant/Administration role supports RFPs, RFQs, project setup, reporting, contract review, and day-to-day office operations. This is a great opportunity for a self-starter who wants to contribute to a collaborative, team-oriented environment with supportive leadership, stable work, and opportunities to build valuable experience in the residential and commercial construction industry. Key Responsibilities
  • Prepare RFPs, RFQs, proposals, consultant resumes, project experience summaries, and other marketing materials.
  • Support project administration by preparing new project setup worksheets, organizing project files, and drafting budget or scope amendment letters.
  • Proofread, format, and send reports, proposals, presentations, meeting materials, and client-facing documents.
  • Assist with inspection tracking, late report follow-up, roster maintenance, contract review, and occasional travel planning.
  • Support administrative operations, including phones, filing, reports, office equipment coordination, social media, and website updates when applicable. Compensation and Benefits

  • Pay range: $28.00 to $32.00 per hour.

    Redmond, WA. Required Qualifications and Skills
  • Prepare and coordinate RFPs, RFQs, proposals, resumes, and project experience materials.
  • Provide administrative and marketing support to technical staff and project teams.
  • Maintain project files, reports, rosters, amendments, and client-facing documentation.
  • Support daily office operations and inspection tracking processes.
  • 3-5 years of administrative support experience, with service-based or construction-related experience helpful.
  • Strong Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook.
  • Excellent writing, proofreading, formatting, and document preparation skills.
  • Strong time management, organization, follow-up, and prioritization skills.
  • Self-starter with the ability to learn independently and manage multiple deadlines.
  • Familiarity with standard office equipment, including printers and copiers.
  • Degree preferred but not required with relevant experience. Preferred Qualifications
  • Experience supporting proposals, RFPs, RFQs, or marketing materials in a professional services, construction, engineering, architecture, or consulting environment.
  • Background in payroll or invoicing for backup administrative support.
  • Experience managing or updating social media and website content.
  • Familiarity with city, county, state, or public agency rosters.
