Generous vacation, sick leave, and paid holidays. Job Summary We are seeking a self-motivated Administrative Assistant to provide high-quality, confidential support to our Executive Director. In this vital role, you will maximize operational efficiency by supervising assigned staff, documenting board meetings, conducting policy research, and delivering concise daily briefings. You will also serve as our primary communications hub by managing the agency website, running social media accounts, and producing monthly newsletters and annual reports. Additionally, this position monitors regulatory compliance, tracks licensures, and manages annual school-based Memorandums of Understanding (MOUs) across King, Pierce, North Sound, Thurston, and Mason counties. This role requires deep familiarity with immigrant needs and a passion for advocating for the Latinx community within the behavioral health sector. Candidates must be highly adaptable multitaskers who can handle strict confidentiality under tight timelines and maintain the flexibility to attend evening, weekend, and multi-state events.
ADMINISTRATIVE ASSISTANT DUTIES AND RESPONSIBILITIES
Executive Support & Operations Manage calendars, travel, logistics, and large meetings for the Executive Director. Analyze heavy contracts, compile research reports, and provide daily concise briefs. Document formal minutes for board, leadership, and external stakeholder meetings. Supervise expenditures, manage the agency credit card, and provide daily task updates. Participate directly in hiring interview panels as directed by leadership. Communications & Media Oversee branding, website updates, and social media (Facebook, Instagram, YouTube). Produce external materials including newsletters, flyers, podcasts, and annual reports. Document, preserve, and share historical agency milestones and client success stories. Master diverse technical tools spanning Telehealth platforms, CANVA, and digital health records. Compliance & Risk Management Enforce absolute confidentiality regarding HR investigations, legal grievances, and health data. Monitor agency compliance across Joint Commission, WAC, RCWs, and health plan contracts. Secure timely annual multi-county school district Memorandums of Understanding (MOUs). Community Advocacy & Scheduling Flexibility Represent and accompany the Director at legislative, funder, and coalition meetings. Advocate deeply for Latino, immigrant, and migrant community health needs. Participate in community resource fairs, galas, retreats, and fundraising events. Maintain open availability for non-standard hours, overnight travel, and emergency calls.
Administrative Assistant Qualifications:
• Master's degree preferred Excellent Written and verbal communication skills in both English and Spanish. Three years of administrative experience Public relations experience Marketing and social media experience Familiar with all Microsoft products and significant technological skills.
