Job Description

Job Summary We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring smooth office functions, exceptional customer support, and efficient administrative processes. Your energetic approach and attention to detail will help foster a productive and welcoming environment for both staff and visitors. This paid position offers an exciting opportunity to develop your office management skills while contributing to a well established business. Duties Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth Operate multi-line phone systems, handle incoming calls, and provide prompt, courteous customer service Perform data entry tasks using Microsoft Office, QuickService, and Sage 300 Real Estate and Construction, to maintain accurate records and financial documentation Organize and maintain filing systems—both physical and digital—to ensure easy retrieval of documents Assist with Construction Adminstrative duties, such as Job Bid Write Up, Job Costing Data Entry, Vendor Returns, and purchasing. Provide general office management support including Job Bid Write Ups, , photocopying, scanning, and maintaining a clean workspace Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for effective communication and documentation Strong organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment Excellent phone etiquette with experience handling multi-line phone systems and providing exceptional customer support Previous office experience or clerical experience demonstrating familiarity with administrative procedures Knowledge of Plumbing Industry or General Construction Industry enviroment strongly l record-keeping is preferred Strong typing skills coupled with attention to detail for proofreading and data entry tasks Familiarity with office management practices including filing systems, calendar management, and construction services protocols. Basic Bookkeeping Knowledge preferred. Computer literacy across various platforms to ensure seamless workflow across multiple software applications Join us in creating an organized, efficient, and welcoming office environment! Pay:
$23.00 - $25.00 per hour
