Full Job Description Job Description:
Are you seeking an opportunity to work in a professional office environment? Inland Empire Tax Services is currently looking for an Administrative Assistant. The ideal candidate would be friendly, professional and detail-oriented!
Work Schedule Expectations:
January - April, approximately 40 hours per week during tax season Possible alternating Saturdays during tax season May - December approximately 12-20 hours per week
Current Schedule:
4-8 hour shift Monday to
Friday Job Responsibilities:
Greet and welcome visitors in a professional and friendly manner and handle brief discussions related to the drop off of tax information and pick up of tax returns Answer, screen and direct phone calls; handle any issues appropriately and relay messages Schedule appointments and manage calendars for clients and staff members Assist with clerical tasks such as filing, photocopying, and scanning documents Perform data entry tasks, including updating and maintaining databases and tax software Handle or prepare incoming and outgoing mail and packages, envelopes, and certified receipts Printing and assembly of tax returns Assist in transmitting and receiving acknowledgements of tax returns daily Final review of tax returns prior to delivery to clients; ensuring all documents are signed, envelopes are included, method of signing is verified, pick up and payment Maintain strict confidentiality by following internal procedures Provide a high level of support to EA, CPA and Bookkeepers Assist with special projects on an as needed basis
Requirements:
Minimum 1 year of experience working in a fast-paced professional office environment. Tax knowledge is a plus, but not necessary Ability to deal appropriately with confidential information and interact professionally with clients and employees of all levels of the firm Strong communication skills, both verbal and written Excellent telephone manner and communication skills Proficient in data entry and typing skills Ability to multitask and prioritize tasks effectively with attention to detail Friendly and out-going demeanor with positive attitude Strong organizational skills Ability to work well under pressure during busy tax season and exercise sound judgment and discretion Proficiency with Microsoft Word and Excel is required Knowledge of basic office equipment such as printers, scanners, and fax machines Open to acquiring tax knowledge and other relevant skills on the job
