Job Summary:
The Nutrition Services Secretary is expected to perform secretarial duties under the direction of the director. Required skills include the ability to perform routine mathematical functions; strong keyboarding, computer and proofing skills; strong interpersonal skills; excellent judgement; and the ability to work independently, meet deadlines and function in an environment with frequent interruptions. Other job-related duties may be assigned as necessary.

Duties and Responsibilities:
Provide secretarial support to the director and management team, including Word processing, data
input, correspondence, file maintenance and records control.
Work with the department payroll and maintain staff attendance and leave records.
Distribute the U.S. and inter-district mail.
Coordinate the substitute calling process including covering positions of absent workers, communicating with the appropriate parties and maintaining records of the process.
Work cooperatively with Nutrition Services Staff, students, parents, teachers and administrators.
Interact with people and speak in a manner that reflects community standards of politeness, civility
and human sensitivity; model excellent human relation characteristics and model appropriate
behavior.
Organize, file, and archive department files.
Manage staff directory, health cards, health permits, meeting/training records.
Print, distribute, track, and file monthly health and safety audits, food safety audits, HACCP logs,
and Buy America verifications.
Process p-card transactions for payment and follow-up on any missing invoices.
Be thoroughly familiar with the operation of the department
Greet visitors, staff, and students both in person and via phone, in a friendly and professional manner
Respond to questions and requests from staff, students, parents and supervisors in a positive and professional manner both in person and via phone providing a high level of customer service
Perform duties related to nutrition services compliance of USDA and OSPI requirements
Monitoring, tracking, and communication regarding nutrition services compliance
Familiar with programs such as Google Drive, Excel, Skyward, and online payment statements
Assist with providing various nutrition services in school buildings as needed
Perform all clerical work as assigned by the director(s)
Enter, compile and generate data for required reports upon request
Establish and maintain electronic and manual filing systems, following state records retention guidelines
Operate and ensure maintenance of office equipment, including copy machines, computers and printers
Update and maintain building website and calendars
May provide support for after-hours events as needed
Provide a high level of customer service
Other duties as assigned
Maintain records and adhere to confidentiality policies.
High School Diploma or GED (documentation required at time of application).
Must be able to provide proof of immunization if born on or after 1/1/1957.
