45 per hour Position Summary The Maintenance & Operations Secretary supports the M&O department by relieving the supervisor of administrative duties, by performing a variety of office and secretarial duties and serving as the first line of communication for the department. Essential Duties & Responsibilities Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Coordinates the district surplus program, including fielding inquiries, running online sales, processing surplus and creating reports to be submitted to the Board. Dispatch trades staff for immediate response to building calls for service. Monitor for custodial call-ins, schedule and assign substitute custodial staff. Communicate with building staff and leads about absences and coverage. Process work orders, accept and assign to the appropriate trades staff. Maintain records and process all payroll and personal absence reports, timesheets, and track department leave requests. Maintain departmental personnel information as needed, including updating employee information, payroll changes, and certifications/training. Responsible for oversight of Waste Management issues including the handling of complaints, ordering, pick-up and dumping of portable toilets throughout the district. Manage daily custodial absence call-ins by scheduling and assigning substitutes as needed to buildings. Prepares documents, reports and correspondence for the director. Provides a variety of secretarial services
  • answering and directing calls, taking messages, responding to inquiries; receiving and distributing mail.
This position serves as backup support for processing purchase orders, managing the facilities operations system (Operation Hero), and coordinating mandatory inspections. Other duties as assigned. Qualifications 1-2 years secretarial experience is strongly preferred. High school diploma or equivalent. Knowledge of Google office systems, Excel, district and operations systems, strongly preferred. Attendance and punctuality are important in this position. Ability to maintain professionalism with a diverse group of staff, contractors and community members. Must successfully pass the required background check.
