Job Description
Office Manager / Office Coordinator TNT Signature Glass Design, LLC is looking for a motivated, organized, and customer-focused team member to help manage daily office operations and keep projects moving efficiently from start to finish. This position plays an important role in customer communication, scheduling, project coordination, billing, Accounts Receivable, and general administrative operations. We are looking for someone who is dependable, detail-oriented, professional, able to multitask in a fast-paced environment, and comfortable communicating with customers, installers, vendors, and management. Position Summary The Office Manager / Office Coordinator will be responsible for handling customer communications, answering phones, scheduling jobs and measurement appointments, assisting with invoicing and Accounts Receivable, coordinating materials for upcoming projects, maintaining records, and supporting the daily administrative needs of the company for both residential and commercial work. This position requires strong communication and organizational skills, good judgment, professionalism, and the ability to adjust quickly as priorities change throughout the day. This is a full-time, in-office position averaging approximately 40 hours per week. TNT offers a casual work environment with a relaxed dress code while maintaining a professional atmosphere focused on teamwork, accountability, efficiency, and customer satisfaction. Responsibilities Customer Communication Answer incoming phone calls professionally and efficiently Respond to customer questions regarding scheduling, billing, products, and services Communicate with customers regarding appointments, project updates, changes, and delays Follow up with customers before, during, and after project completion as needed Help maintain a positive and professional customer experience at all times Scheduling & Project Coordination Schedule residential and commercial installations Schedule customer measurement and estimate appointments Coordinate schedules between customers, installers, office staff, and management Confirm appointments and maintain accurate scheduling information Help organize daily and weekly job flow Assist with prioritizing projects and upcoming deadlines Help ensure jobs are properly prepared before being released to the installation team Administrative, Billing & Accounts Receivable Create and process invoices accurately and in a timely manner Assist with Accounts Receivable and customer payment follow-up Assist with billing-related customer communication Enter and maintain warranty registrations for residential and commercial projects Maintain organized digital and physical records Assist with data entry and general office administration Prepare and maintain customer and project paperwork as needed Materials & Project Preparation Coordinate materials needed for upcoming scheduled jobs Verify that required materials, supplies, and paperwork are ready before installation Communicate with vendors and suppliers when necessary Help track materials and special-order products Assist in making sure projects are properly organized and ready for production and installation teams Qualifications Previous office, administrative, customer service, scheduling, billing, or bookkeeping experience preferred Strong communication and interpersonal skills Highly organized with strong attention to detail Ability to multitask and prioritize in a fast-paced environment Comfortable using computers, email, scheduling software, invoicing systems, and basic office programs Ability to work independently while also functioning as part of a team Professional attitude and dependable work ethic Comfortable speaking with customers and handling occasional difficult or time-sensitive situations Willingness to learn our products, processes, and industry Preferred Skills Experience in construction, automotive, glass, window film, tint, wrap, or another service-related industry is a plus Experience with invoicing, Accounts Receivable, bookkeeping, or QuickBooks-type systems preferred Strong problem-solving and decision-making abilities Ability to remain calm, organized, and professional under pressure Experience coordinating multiple jobs, customers, or field employees is a plus Compensation & Benefits Competitive pay based on experience Paid sick days Paid vacation time Marketplace health insurance premium reimbursement
