Job Overview We are seeking a dynamic and organized Real Estate Office Assistant to join our vibrant team! This role is vital in ensuring the smooth operation of our real estate office by providing administrative support, managing client communications, and maintaining efficient office workflows. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to help us deliver outstanding service to our clients and support our agents. This paid position offers an exciting opportunity to grow within the real estate industry while honing your administrative and customer service skills. Daily hours will be either 8:00am-12:30pm or 12:30pm-5:00pm, and will be configured with the other front desk employee. Duties Serve as the front desk ambassador, greeting clients and visitors with professionalism and warmth Manage multi-line phone systems, directing calls accurately and courteously while handling inquiries efficiently Maintain organized filing systems for client records, contracts, and other important documents Perform data entry with precision into multiple software platforms including Microsoft Office and Google Workspace Handle confidential information with discretion, ensuring privacy standards are upheld at all times Assist with client communication via email and phone, providing excellent customer support and service Proofread documents for accuracy and clarity before distribution or submission Support clerical tasks such as photocopying, faxing, and filing to keep the office organized and efficient Qualifications Office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Excellent phone etiquette with experience managing multi-line phone systems Computer literacy including data entry, typing, proofreading, and general clerical skills Previous experience in real estate or personal assistant roles is advantageous but not required Exceptional customer service skills with a friendly and professional demeanor Ability to handle confidential information responsibly while maintaining high levels of discretion Effective time management skills to prioritize tasks efficiently Join us as a Real Estate Office Assistant and be part of a team dedicated to delivering top-tier service!
