Job Description
Job Summary We are seeking a detail-oriented and organized Site Administrative Assistant to support daily construction site operations. This role provides critical administrative support to project managers and field teams by managing project documentation, coordinating communications, maintaining records, and assisting with payroll and timekeeping processes in a fast-paced environment. Responsibilities Assist with the preparation, processing, and distribution of project documentation, including time tickets, contracts, change orders, safety forms, and progress reports. Maintain accurate and organized project records and filing systems in both physical and digital formats. Coordinate schedules, meetings, site visits, inspections, and other project-related activities. Provide day-to-day administrative support to project managers and field teams, including data entry, document management, and report generation. Manage site communications and serve as a point of contact for subcontractors, suppliers, clients, and project stakeholders. Assist with payroll administration, timekeeping processes, and employee record maintenance for site personnel. Monitor and track project documents to ensure accuracy, completeness, and timely submission. Qualifications High school diploma or equivalent required; additional education or training in business administration or a related field is a plus. Previous administrative support experience required; experience within the construction, electrical, or related industry preferred. Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook. Experience working with project management or construction management software is preferred. Excellent organizational, multitasking, and time management skills with strong attention to detail. Strong verbal and written communication skills with the ability to interact professionally with internal and external stakeholders. Ability to work independently while also contributing effectively within a team environment. Knowledge of construction terminology, project documentation, and construction processes is a strong advantage.
