This position will assist with service scheduling and dispatching, installation coordination, customer billing and general office responsibilities. This is a role that can truly grow into what you want it to be. Whether you enjoy working with customers, coordinating schedules, improving office processes, marketing, human resources, or taking on new projects, there is an opportunity to make this position your own and expand your responsibilities over time. The ideal candidate is organized, dependable, detail-oriented, willing to learn, and comfortable communicating with customers, technicians, managers, and other team members. We are looking for someone who can handle the core responsibilities of the position while also bringing their own strengths and interests to the role. Service & Dispatching Assist with dispatching Service Technicians and coordinating their daily schedules Schedule and track appointments for Sales Representatives and Managers. Gather necessary information from potential customers and sales leads. Maintain an accurate and up-to-date Service To-Do List. Assist in ensuring daily office and service procedures are followed. Order service parts as needed. Review work orders for accuracy and completeness before billing. Installation Coordination Maintain an accurate daily schedule of installation crews and know where each crew member is scheduled to be each day. Assist with tracking installation jobs and keeping job information and paperwork complete and organized. Retrofit Installations Schedule and coordinate approved retrofit replacement installations. Invoice customers once retrofit jobs are approved and completed. File extended warranty information. Register customer equipment and maintain registration records. General Office Support Maintain accurate and organized company records. Post payments to customer accounts. Enter vendor and expense invoices into the appropriate system. Review timesheets for accuracy and completeness and address discrepancies as necessary. Maintain confidential personnel documentation. Assist Managers and other office staff with administrative tasks as needed. Communicate professionally with customers, technicians, vendors, and team members. Help ensure information is entered accurately and tasks are completed in a timely manner.
