You'll Love This Role As the Bilingual Administrative Assistant, you'll be at the center of our manufacturing operations, helping leadership stay organized while ensuring materials, records, and finished goods move seamlessly from planning to shipment. This role blends administrative expertise with operational coordination, offering variety, visibility, and meaningful impact every day. If you take pride in accuracy, enjoy juggling multiple priorities, and like collaborating across teams to make things run better, this role gives you the chance to truly make a difference. ️ How You'll Support the Structure Executive & Administrative Support Support Manufacturing leadership and managers with day‑to‑day administrative needs Manage calendars, schedule meetings, and coordinate appointments to keep workflows on track Prepare correspondence, reports, and presentations Serve as a primary point of contact for internal teams and external partners Maintain organized digital and physical filing systems Partner with procurement to order and track raw stock and fasteners Handle confidential and sensitive information with professionalism and discretion Data Entry & Record Management Accurately enter and maintain data in company systems, spreadsheets, and databases Ensure inventory, purchasing, invoice, and administrative records are complete and current Review data for accuracy, resolve discrepancies, and support basic reporting needs Assist with document tracking, audits, and reconciliation activities Raw & Finished Goods Coordination & Tracking Track raw materials inventory levels and assist with counts, audits, and reconciliation Maintain accurate records for receipts, transfers, usage, and inventory movement Coordinate with vendors, warehouses, and internal teams to support inventory needs Assist with ordering supplies and monitoring stock levels to help prevent shortages Organize and maintain inventory storage areas for accuracy and accessibility Collaborate with manufacturing and warehouse teams to communicate when finished goods are ready for shipment Help coordinate shipping schedules to ensure project timelines are met The Foundation You Already Have We're looking for a detail‑driven, organized professional who enjoys supporting operations and working collaboratively. High school diploma or equivalent 3+ years of experience in administrative support, data entry, or a coordination‑focused role Strong organizational skills with a high level of attention to detail Ability to manage multiple tasks independently in a fast‑paced, operational environment Comfort using Microsoft Office (Excel, Word, Outlook) Clear, professional written and verbal communication skills Bilingual in Spanish and English Reliable, trustworthy, and committed to handling confidential information responsibly Bonus Points If You Have These Familiarity with inventory tracking, purchasing documentation, or basic supply chain processes Experience supporting manufacturing or warehouse operations Associate degree or higher We Take Care of Our People We know that a job is more than a paycheck, it's about feeling supported, valued, and able to live a full life outside of work.
