Job Description

We are seeking candidates for a part-time administrative assistant role located in Stevens Point with one of the area's most recognized non-profit organizations. Hours to select from are either 9am-1pm, 10am-2pm or 11am-3pm. Administrative Associate We think big so we can do even bigger. Our ideal candidate is organized, detail-oriented, and people-focused. They enjoy helping others, solving problems, and making sure the day-to-day operations of a busy nonprofit run smoothly. What You'll Be Doing As our Administrative Associate, you'll play a key role in keeping things running smoothly each day. You'll help support our VP of Finance, assist multiple departments with important projects, and ensure visitors, volunteers, and partners feel welcome when they connect with us. This role is part organization, part problem-solving, and part relationship-building. From coordinating board meeting logistics to managing office systems and greeting visitors, you'll help create an efficient and welcoming environment that supports the important work happening across our organization. What You'll Take the Lead On Serving as the front office administrator, greeting visitors, answering phone calls, and providing helpful information about programs and services. Offering resource referrals when community members need help finding local support. Preparing outgoing mail and distributing incoming mail. Supporting Board and Executive Committee meetings, including meeting logistics, food coordination, note taking, and preparing meeting minutes. Maintaining Board attendance records and assisting with board communication, schedules, and documentation. Organizing and maintaining office files, calendars, and office equipment such as printers, copiers, postage meters, and phone systems. Ordering and maintaining inventory of office supplies. Assisting staff members with administrative and project support such as bulk mailings, phone calls, and document preparation. Maintaining and updating detailed, confidential records in our donor database, including profile updates, pledge posting, accounts receivable payments, and board information. Helping ensure the office runs smoothly by assisting with basic technology coordination and serving as the office contact for technology vendors. You Have A positive, welcoming personality and a strong commitment to customer service. Excellent organizational skills and the ability to manage multiple tasks at once. Strong attention to detail and accuracy. Comfort learning and using new technology and data systems. Strong communication skills, both written and verbal. The ability to work independently while also supporting a collaborative team environment. Professional discretion and the ability to maintain confidentiality with donors, volunteers, and organizational information. A flexible mindset and willingness to jump in wherever help is needed. Minimum Requirements Previous experience in an office or administrative environment preferred. A two-year or four-year degree is helpful but not required if experience demonstrates strong administrative and organizational skills. Proficiency with Microsoft Office (Word, Excel, Outlook) and general computer systems. Ability to prioritize tasks and work effectively in a fast-paced environment.
