Job Description

We are looking for an Administrative Assistant to support a property management team within the condominium division in Wisconsin. This contract position is fully in-office and offers the opportunity to contribute to daily administrative operations in a collaborative, team-focused environment. The ideal candidate is comfortable balancing requests from multiple colleagues, communicating clearly with residents and vendors, and keeping documentation accurate and organized.
Responsibilities:
  • Provide day-to-day administrative support to the condominium property management team, helping keep office operations organized and on schedule.
  • Respond to incoming calls courteously, address difficult conversations with composure, and direct inquiries appropriately to maintain positive communication.
  • Prepare letters, notices, and other written materials with a high level of accuracy.
  • Coordinate outgoing mail and assist with resident, vendor, and contractor communications related to property and maintenance matters.
  • Support insurance audit activities by gathering information, organizing documentation, and assisting the Property Manager as needed.
  • Maintain detailed records, enter information accurately, and document conversations or updates thoroughly for team reference.
  • Create, update, and manage spreadsheets and other administrative tracking tools to support projects and daily workflows.
  • Use Microsoft Word and property management systems to complete assignments efficiently and help manage multiple priorities from team leadership and staff.
