Job Description
Job Summary We are seeking a detail-oriented and proactive Administrative Specialist to join our dynamic team. The ideal candidate will be responsible for providing comprehensive support to our office operations, ensuring efficient workflow and exceptional customer service. This role requires strong organizational skills, proficiency in various software applications, and the ability to manage multiple tasks effectively. Duties Manage front desk operations, including greeting visitors and handling inquiries in a professional manner. Answer and direct calls using a multi-line phone system, demonstrating excellent phone etiquette. Perform data entry tasks accurately and efficiently, maintaining up-to-date records. Assist with calendar management, scheduling appointments, and coordinating meetings for team members. Handle filing and organization of documents to ensure easy retrieval of information. Provide customer support by addressing client concerns and inquiries promptly. Utilize Microsoft Office Suite and Google Workspace for document preparation, presentations, and communication. Conduct proofreading of documents to ensure accuracy and professionalism in all communications. Support bookkeeping tasks as needed, including basic accounting functions using QuickBooks. Collaborate with team members on various administrative projects to enhance office efficiency. Requirements Proven experience in an administrative role with a strong background in office management. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with QuickBooks is a plus; experience in bookkeeping is highly desirable. Strong organizational skills with the ability to manage multiple priorities effectively. Excellent typing skills with attention to detail for accurate data entry and documentation. Bilingual candidates are encouraged to apply; fluency in additional languages is an asset. Previous experience as a dental receptionist or medical receptionist is preferred but not mandatory. Demonstrated customer service skills with a focus on providing exceptional support to clients. Ability to work independently as well as collaboratively within a team environment. Strong time management skills to meet deadlines while maintaining quality work standards.
