Job Description
Job Summary The Administrative Assistant supports senior executives and the trust administration team by providing comprehensive administrative, operational, and communication support. This role ensures the smooth functioning of daily operations by managing complex calendars, coordinating meetings and travel, organizing documents and reports, and assisting with trust-related administrative tasks. The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities in a fast-paced environment. Key Responsibilities Executive Support Manage calendars, schedule meetings, and coordinate appointments. Screen and prioritize incoming communications; draft correspondence and responses as needed. Review and arrange documents for signature. Prepare meeting materials and take minutes when needed. Arrange domestic and international travel, including flights, accommodations, and transportation as well as draft expense reports as needed. Trust Administration Support Assist trust officers with day-to-day administrative tasks as requested. Assist with data entry and document management. Prepare high-quality presentations, reports, and documents for internal and external use Assist with special projects and initiatives Support office operations as needed Communication & Relationship Management Serve as a primary point of contact for internal teams and external partners. Build strong professional relationships across departments. Represent executives in a polished and professional manner. Maintain confidentiality and discretion when handling sensitive information. Qualifications Bachelor's degree preferred or equivalent work experience. 2-4+ years of administrative or executive support experience. Exceptional organizational and time-management skills. Strong written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom). Ability to prioritize and handle multiple tasks under tight deadlines. High level of professionalism, discretion, and integrity.
