The Role We're looking for an Administrative & Housing Coordinator to provide broad-based support across hotel administration, human resources, and employee housing operations. You'll be the operational backbone of the back office — handling HR processes throughout the full employee lifecycle, keeping records accurate and compliant, supporting benefits and payroll administration, and coordinating employee housing from move-in through move-out. This is a dual-function role that requires genuine range. One hour you may be processing new hire paperwork; the next, conducting a housing inspection or coordinating a maintenance repair. You'll work across nearly every department, handle sensitive employee information with discretion, and be the kind of steady, organized presence that the rest of the team relies on to get things done correctly. We're looking for someone who takes real pride in operational precision, treats every employee interaction with care and professionalism, and understands that strong internal systems are what allow everything else at Hotel Jackson to run well. What You'll Do Administration and Office Operations Daily administration: provide administrative support to hotel management and department leaders — answering phones and correspondence, maintaining organized filing systems, preparing reports and documents, and handling general office duties with accuracy and care.
Meeting support:
coordinate company meetings including scheduling, preparing agendas, taking notes, and distributing follow-up materials so nothing is lost between conversations.
Supply management:
order, organize, and maintain office, HR, housing, uniform, and operational supplies so no department is ever caught short.
Uniform coordination:
manage uniform inventory, distribution, exchanges, and returns; maintain accurate records and coordinate reordering as needed. Human Resources Support Employee lifecycle administration: support all stages of the employee experience from recruiting coordination and new hire onboarding through offboarding — processing paperwork, preparing orientation materials, and ensuring every step is completed accurately and on time.
Personnel files and records:
maintain complete, accurate, and compliant employee files and HRIS records; handle all employee information with strict confidentiality and sound judgment.
Benefits administration:
assist employees with benefits questions, enrollment processes, qualifying life events, and required documentation; coordinate health insurance, retirement plans, and employee assistance programs; monitor enrollment deadlines and support annual open enrollment.
Payroll support:
support payroll preparation by reviewing employee information, tracking required documentation, and assisting with timekeeping records.
Compliance tracking:
track employee certifications, licenses, work authorizations, and required training renewals; assist in maintaining compliance with federal, state, and local employment laws.
Recruiting coordination:
post job openings, schedule interviews, coordinate candidate communications, process pre-employment requirements including background checks and I-9 documentation, and prepare hiring paperwork.
Employee relations support:
assist managers with employee documentation, disciplinary paperwork, performance review administration, and policy acknowledgments; support employee engagement initiatives, recognition programs, anniversaries, and wellness programs. Incident and workers' compensation: assist with workers' compensation paperwork, incident documentation, and OSHA recordkeeping as needed. Employee Housing Coordination Housing assignments and transitions: coordinate employee housing assignments, move-ins, transfers, and move-outs; prepare housing agreements and ensure all required documentation is completed before occupancy.
Records and reporting:
maintain accurate housing records, occupancy reports, rent tracking, and housing files; provide management with regular housing availability updates.
Inspections:
conduct move-in, move-out, and routine housing inspections to verify cleanliness, safety, and compliance with company standards; document and follow up on any issues found.
Maintenance coordination:
submit and track maintenance requests and repairs with maintenance staff and outside vendors; follow up to ensure timely completion and communicate status to affected employees.
Policy and compliance:
communicate housing policies, expectations, and procedures to employees; assist with orientation related to housing; ensure compliance with company housing policies and applicable local regulations.
Housing operations:
monitor housing inventory including furniture, appliances, linens, and supplies; coordinate cleaning schedules and turnover between occupants; maintain key and access records.
Financial coordination:
coordinate housing rent deductions and communicate housing-related charges to Payroll and Finance; monitor damages and coordinate repair or replacement as necessary. What We're Looking For Previous experience in human resources, administration, hospitality, or office management preferred. Experience with employee housing administration is a meaningful advantage. Strong organizational and time management skills — you manage competing priorities across multiple functions without dropping anything.
Excellent written and verbal communication:
professional, warm, and precise with employees, managers, and external contacts. Absolute discretion with confidential employee and company information — this is non-negotiable. Proficiency in Microsoft Office Suite, Google Workspace, and HRIS systems; hotel management software experience is a plus.
Strong customer service instincts:
you treat every employee interaction as an opportunity to support and build trust. Comfortable working independently across multiple departments while maintaining strong collaborative relationships throughout. Detail-oriented with genuine problem-solving ability — you find the issue before it becomes someone else's problem. Physically able to conduct housing inspections and travel between hotel and employee housing locations as needed.
