Job Description
We are looking for a dependable Mailroom Assistant to support day-to-day package and mail handling for a busy workplace in San Francisco, California. This is a Long-term Contract position suited for someone who enjoys organized, hands-on work and takes pride in providing responsive service to employees across the office. The role is primarily on-site and involves managing incoming deliveries, preparing outgoing shipments, and helping keep mailroom operations efficient, orderly, and secure.
Responsibilities:
- Manage incoming letters, parcels, and courier deliveries by sorting and routing items to the correct employees or departments in a timely manner.
- Prepare outbound shipments by packing materials, creating labels, and organizing items for scheduled carrier collection.
- Work directly with shipping providers to coordinate routine pickups, deliveries, and special handling requests throughout the day.
- Maintain accurate delivery records and investigate shipment issues such as delays, missing parcels, or incorrect routing.
- Keep the mailroom and staging areas neat, secure, and functional by organizing shelves, supplies, and receiving spaces.
- Monitor inventory levels for mailroom materials such as boxes, tape, and labels, and alert the appropriate team when replenishment is needed.
- Assist with related office support activities connected to mail flow, including returns, internal distribution, and equipment shipments.
- Communicate clearly with employees regarding package arrivals, pickup steps, and items that require special attention while following workplace communication tools and processes.
- Follow established safety and security practices when handling deliveries, including sensitive or high-priority items.
