  • The BeneSys Mail Operator is responsible for all mail room tasks which include but are not limited to daily incoming office mail, daily outgoing office mail, incoming courier service package delivery (i.
e., UPS, FedEx, etc.) and outgoing courier service package pick-up (i.e., UPS, etc.). This role is also responsible for printing the output of the processes ran by the Computer Operations/Production Team. The Mail Operations Department at BeneSys, Inc. can be characterized as fast paced with the occasional special requests added into the regular daily routine. The Mail Operations Department resides within the Information Technology Department. The Mail Operator is expected to be able to adapt to this environment, completing the required tasks and responsibilities quickly and without error. Attention to detail is very important in this role. The Mail Operator will always represent themselves, the department, and the company with the highest level of professionalism, maintaining a positive attitude always. The Mail Operator reports directly to the Mail Operations Supervisor and has opportunity for advancement within BeneSys, Inc. Mail Operator Responsibilities Folding/inserting/mailing QA/verification of counts QA/verification of print quality Backup as coverage is needed for Mail Operator Level 2 Courier delivery & pick-up service (UPS, FedEx, etc.) Printing Output of computer operations/production processes Reports Statements Status Slips Self-Pays Annual Statements Prebills Checks Disability Claims Pension Vacation Month End Letters Medicare Cobra QA/verification of counts Prepare outbound packages (create labels) Fulfillment of incoming ticket requests Printer ink, toner cartridges, etc. Envelope requests Backup as coverage is needed for Mail Operator Level 1 Log incoming packages (copy label) Notify recipient of package to pick-up (obtain signature) Shred bins, if applicable Request additional bins when needed Collect bins for emptying by vendor on designated days Replace bins once emptied Cobra Mailings, if applicable Managing of Cobra guts inventory Fold and insert printed letters and guts Meter Take to the post office for mailing Deliver receipt confirmation to appropriate teams Update Cobra comments Update OnBase Cobra mailed External mail pick-up Daily pick-up of mail from P.O. Boxes, if applicable Daily pick-up of mail from mail vendor, if applicable Internal mail pick-up Twice daily picking up of outbound mail from designated areas Meter mail Tracking undeliverable mail Sorting and delivering of incoming mail (Exela), if applicable Date stamp Open Place in mail slots/bins Sorting and delivering of incoming mail (post office) Date stamp Open Place in mail slots/bins Take direction from leadership Provide outstanding customer service Physical/Mental Demands and Environment Ability to prioritize and coordinate job duties. Ability to adjust priorities, listen receptively to ideas and problems. Ability to reach acceptable compromise and to maintain strict confidentiality. Ability to work under time constraints; ability to communicate clearly and work effectively as a team member. Ability to work independently with little supervision. A high degree of accuracy is required for handling sensitive mail and proper routing of mail. Occasional moderate to heavy lifting. Occasional travel to local post office or contracted mail vendor. Qualifications One year experience in related skills applicable to corporate mail room operations Knowledge of current Microsoft Operating Systems a plus Knowledge of current Microsoft Office Versions a plus Good interpersonal and oral communication skills Experience working in a team-oriented and collaborative environment Regular and predictable attendance is an essential function of this job Work Schedule
