Job Description

Company Overview We're a small direct mail agency in Austin. We build, print, and mail campaigns for clients around the country, mostly financial advisors, insurance agencies, law firms, and real estate offices. When their mail lands, people write back on a reply card, and those cards are how our clients get new business. Getting those cards scanned, logged, and into our clients' hands the same day is a big part of what we do. We also track how each campaign is performing and report on it, so our clients know what their marketing is doing for them. All of that runs through one person right now. We're hiring the person who takes it over. About this Role We are hiring a part-time Administrative Support & Operations Coordinator to help keep our fast-paced direct mail marketing business running flawlessly. This is a part-time job, 20 to 25 hours a week, Monday through Friday. You'll work from home, but you do need to live in Austin, because you'll be driving to our PO Box in South Austin (located at 290 and S Congress) every weekday to pick up incoming mail. USPS puts our mail in the box by 11:00am, so pickup happens between 11:00am and 12:00pm, and everything that came in has to be logged and emailed out to the client by 3:00pm CT. This is the daily core responsibility of this role, so this job works best for someone who already lives on the south side. The closer you are to 3903 S Congress, the better. You'll also handle internal order reporting and data upkeep, client list preparation, USPS paperwork, our postal accounts, and other admin projects as they come up. You'll need internet you can count on and something to fall back on when it goes down, so that we can ensure business continuity for our clients. What you'll own Receiving and Processing Incoming Mail - This is the anchor of the job. Every weekday you'll pick up the mail from our PO Box at 3903 S Congress Ave (right at 290 and S Congress) between 11:00am and 12:00pm, then sort, scan, and label what came in. Every lead gets logged and saved in our database, and every client gets their leads emailed to them by 3:00pm CT with their account rep copied. When something looks off on a client's cards, their account exec hears about it that same day. The rest of the mail goes to whoever needs it. Data and reporting - Response reporting for our clients and account execs. Checking what came in against what got logged so nothing goes missing. Scrubbing client mailing lists in Excel so what we mail goes to the right people, which means standardizing fields, fixing formatting, and pulling duplicates. Flagging campaigns that aren't getting responses early enough for the team to do something about it. USPS and the back office You'll be our point of contact for our postal accounts: business reply mail, permits, and postage. This includes keeping the bills paid, the balances funded, and the PO Box current. Other admin support projects and tasks as they come up
Requirements Experience:
Minimum of 2+ years in an administrative, operations, or project coordination role (experience in print, marketing, or direct mail is a major plus).
Data proficiency:
Advanced comfort level with MS Excel (filtering, sorting, removing duplicates, VLOOKUPs). A good part of this job is cleaning up client data, so this one matters.
Tech savvy:
Proficiency with project management software (we use Monday.com), and billing platforms (we use Xero and Stripe). A reliable car and a valid license. The post office run happens every weekday, and mileage isn't reimbursed, so living close to 78704 helps a lot. Free every weekday between 11:00am and 4:00pm CT Internet you can count on, and a backup for the days it goes out (a hotspot, a spot nearby you can work from, etc.) Able to start on or before September 28, 2026 Core competencies
