This role is vital in creating a welcoming environment for visitors and clients while ensuring smooth office operations. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will handle front desk responsibilities, manage administrative tasks, and support various office functions to help our team stay efficient and productive. This paid position offers an exciting opportunity to develop your office management skills in a fast-paced environment. Duties Greet visitors, clients, and vendors with professionalism and enthusiasm, providing exceptional customer service at all times Manage multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette Perform data entry, filing, and maintain organized records using Microsoft Office and other office software Assist with calendar management, scheduling meetings, and coordinating appointments for staff or executives Support bookkeeping tasks such as receiving and processing invoices & payments Proofread documents for accuracy and clarity before distribution or filing Provide general administrative support including photocopying, faxing, mailing, and supporting company's operations Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency with Microsoft Office Suite (Word, Excel, Outlook) tools Excellent computer literacy and data entry skills with high attention to detail Strong communication skills in English; bilingual abilities are a plus to serve diverse clients and team members Experience with multi-line phone systems and phone etiquette is essential Bookkeeping experience is preferred but not required Previous experience as a receptionist/administrative assistant in construction-related field or in customer support roles such as service dispatcher are advantageous Ability to manage time effectively while handling multiple priorities in a fast-paced environment Join us to be part of a vibrant team dedicated to delivering outstanding service while supporting the daily operations of our busy office.
