Job Summary:
The Part-Time Receptionist serves as a first point of contact for HICA and Inspiritus constituents and plays a crucial role in creating a professional, welcoming, and supportive experience for everyone who enters or call our office. This position is designed to increase the capacity of our Office Coordinator by providing front‑desk coverage—primarily greeting visitors/constituents and answering calls—so that the Office Coordinator can focus on office operations and administrative priorities.

Part-time, Non-Exempt Duties and Responsibilities:
Front Desk & Visitor Support (Primary Focus):
  • Answers, screens, and routes incoming phone calls and voicemails in Spanish and English.
  • Welcome all visitors and constituents with warmth, professionalism, and cultural humility, including individuals who may be in crisis.
  • Maintains an organized, welcoming, and tidy reception area (materials stocked and ready).
  • Supports building security practices by following safety procedures and controlling access via the reception desk.
  • Maintain accurate, timely, and confidential participant records in required data systems. Administrative and Operational Support (Secondary):
  • Collects, sorts, and distributes daily mail and deliveries
  • Office supply inventories, including ordering supplies and maintaining clean supplies inventory.
  • Help with office organization tasks (e.g., copying/scanning, filing, assembling packets, scheduling support) assigned.
  • Assists with conference room scheduling/availability and set-up needs as requested. Learning & Growth (Built into the Role)
  • Office systems and basic administrative workflows
  • Workplace communication, scheduling, task management tools
  • Software skills (Windows and Microsoft Office), with support as you learn.
Qualifications:
Required:
    Bilingual:
    Spanish/English with strong written and verbal communication skills in both languages.
      Education:
      High School diploma or GED.
      • Growth mindset: Demonstrated drive to learn, follow directions, and build new skills over time.
      Preferred /
      We Can Train:
      • Professional, respectful customer service and interpersonal skills that reflect HICA's and Inspiritus core values.
      • Prior work experience in customer service or reception is a plus but not required.
      • Valid driver's license, automobile insurance, and reliable transportation (if needed for occasional errands or off-site support).
      • Ability to listen, stay calm under pressure, and learn effective conflict de-escalation techniques.
      • Comfort learning new software and office tools (e.g., Windows and Microsoft Office).
      • Strong organization and follow-through; able to manage simple, repeatable front-desk workflows
      General:
