Front Office Receptionist
Job Description
Overview We are seeking a dynamic and friendly Customer Service Receptionist to join our team. Provide professional customer service and administrative support to agents, insureds, mortgage companies, visitors, and staff. Responsible for answering phones, responding to inquiries, processing payments, handling mail and deliveries, and assisting with general office functions. Job Functions Answer the main office telephone system, provide general assistance, and direct incoming calls to the appropriate department or staff member. Greet and assist office visitors in a professional and courteous manner. Accept and process walk-in payments by check or credit card and issue appropriate receipts. Respond to customer service inquiries received via email from agents, insureds, and mortgage companies. Distribute customer service emails and related documentation to the appropriate departments. Communicate with and assist agents regarding missing information, Association guidelines, procedures, and other customer service matters. Receive, organize, and distribute incoming physical and electronic deliveries. Assist with outgoing mailings, including preparation, coordination, and processing of bulk mailings as needed. Maintain a clean, organized, and professional reception area, front desk, and lobby. Provide administrative support to the Association Manager and Office Administrator. Provide backup support for other administrative and departmental functions as needed. Assist with special projects, process improvements, and other duties as assigned. Required Qualifications High school diploma or equivalent required; associate degree or equivalent experience preferred. Two to three years of customer service, administrative, receptionist, or related experience preferred. Excellent written and verbal communication skills. Professional demeanor and appearance with a strong commitment to providing courteous and responsive customer service. Strong organizational skills with exceptional attention to detail. Dependable, punctual, and able to work effectively both independently and as part of a team. Ability to manage multiple tasks, establish priorities, and meet deadlines in a fast-paced office environment. Strong problem-solving and interpersonal skills.
•Proficiency with Microsoft Office applications, including Word, Outlook, and Excel, as well as the ability to learn and utilize other Windows-based software applications.
•Ability to maintain confidentiality and exercise appropriate discretion when handling customer and company information.
Pay:
$34,000.00
•$50,000.00 per year
