Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES
Note:
All City of Fayetteville positions require employees to provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of their own team), and have regular and reliable attendance that is non-disruptive. Other essential duties of this position include the following: 1. Greet and assist visitors to City Hall in a courteous and professional manner; determine needs and route visitors to the appropriate department or individual. 2. Receive, screen, and route incoming telephone calls using a multi-line phone system, taking accurate messages and responding to routine inquiries. 3. Provide clerical and administrative assistance to Mayor's Office staff, including typing, copying, scanning, filing, and data entry. 4. Assist with basic scheduling, meeting coordination, and preparation of materials as directed. 5. Receive, sort, distribute, and process incoming and outgoing mail, deliveries, and documents; maintain basic filing and record-keeping systems. 6. Handle sensitive information with discretion and professionalism, referring confidential matters to appropriate staff. 7. Assist with maintaining reception and common office areas, monitor office supply levels, and request replenishment as needed. 8. Communicate and coordinate with City departments to ensure accurate routing of inquiries and timely assistance to the Mayor's Office. 9. Perform other duties as assigned to support efficient operation of the Mayor's Office and City Hall. 10. Maintain a current knowledge of all city projects, services, issues and community events to provide information to callers and visitors. 11. Perform other duties as assigned. 1. Secondary duties as assigned. 1. High School Diploma or GED and three years of related experience required. 2. Must successfully pass criminal background check, including but not limited to convictions, guilty pleas, or no contest pleas to violent offenses, theft offenses and any offense under A.C.A. §21-15-103. 3. Effectively communicate with others orally and in writing. 4. Must be proficient in the use of a computer and related software programs such as Microsoft Office Suite. Must be able to effectively operate standard office equipment. 5. Must be able to become proficient in the use of other applications including the City's complaint management system and website content management system. 6. While performing the functions of this job, the employee is regularly required to effectively communicate in person and on the phone. The employee regularly is required to stand, walk, and sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, and crouch. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities to accomplish computer and office work. 7. While performing the functions of this job, the employee is occasionally exposed to outside weather conditions.
