Responsibilities Greet visitors warmly, manage check-in procedures, and direct them appropriately Answer multi-line phone systems promptly with professional phone etiquette Handle incoming calls, transfer calls, and take detailed messages as needed Maintain a clean and organized front desk area to create a welcoming atmosphere Manage appointment scheduling and calendar management for staff or professionals Perform data entry, filing, and document proofreading to ensure accuracy and organization Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar tools Assist with clerical duties including copying, scanning, and preparing correspondence or reports Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks Provide customer support via phone or email, ensuring positive interactions at all times Support personal assistant duties or medical/dental receptionist responsibilities as needed Qualifications Proven office experience with strong organizational skills and attention to detail Excellent computer literacy including proficiency in Microsoft Office and Google Workspace applications Experience with multi-line phone systems and phone etiquette is essential Bilingual abilities are highly desirable to serve diverse client needs effectively Strong clerical skills such as data entry, filing, proofreading, and document management Knowledge of QuickBooks or bookkeeping experience is a plus Prior experience in customer service or front desk roles preferred Ability to manage time efficiently while handling multiple priorities in a fast-paced environment Personal assistant or medical/dental receptionist experience is advantageous but not required Join us in creating a welcoming environment while supporting our team's success!
