  • Calabasas is looking for an exceptional Office Administrator and Receptionist to join our team. This is a full-time role for someone who leads with warmth, thinks on their feet, and understands what it means to represent a true luxury experience from the very first impression. We are a fine jewelry and timepiece boutique that holds itself to a high standard
  • in the way we present our product, the way we care for our clients, and the way we show up as a team. The right person for this role will carry that same standard into every interaction. About the Role This position serves as the face and voice of Polacheck's Jewelers Calabasas. You will be the first point of contact for clients
  • in person and over the phone
  • and you will play a critical role in the service and repair intake and delivery process for both watches and jewelry. You will report directly to the Office Manager. Responsibilities
  • Answer and manage all incoming phone calls with professionalism, warmth, and a luxury-level client experience
  • Intake watch and jewelry service requests
  • accurately documenting client information, item details, and service needs
  • Coordinate and communicate the delivery of completed watch and jewelry service to clients
  • Serve as the primary point of contact for service-related client inquiries, updates, and follow-up
  • De-escalate client concerns and complaints with composure, empathy, and a solutions-oriented approach
  • Manage front-of-house operations, ensuring the reception area reflects the standards of a luxury environment at all times
  • Support the Office Manager and broader team with administrative tasks as needed
  • Take initiative to identify needs and act on them without being asked What We Are Looking For
  • Prior experience in a luxury retail, hospitality, or client-facing service environment preferred
  • Exceptional verbal communication skills
  • you are calm, clear, and gracious under pressure
  • A natural ability to de-escalate difficult situations and turn a negative client experience into a positive one
  • Highly organized with strong attention to detail
  • A self-starter who takes ownership of their role and doesn't wait to be told what needs to be done
  • Genuine appreciation for fine jewelry and timepieces is a plus
