Job Description

Overview As a Production Assistant, you will be the vital link between our clients and remodeling services. Your role is to ensure seamless communication and efficient scheduling, scanning, answering phone calls, and making a significant impact on client care and satisfaction. You will manage incoming calls, coordinate appointments, and maintain accurate records while adhering to company format, Scan documents to crm software, etc. Your expertise in typing and phone etiquette and scheduling systems will empower you to provide exceptional service in a fast-paced environment. What you'll do Manage a multi-line phone system to handle incoming calls with professionalism and courtesy. Schedule client appointments and address client concerns efficiently while considering schedule availability and client needs. Verify address information and assist with confirmation verification processes to facilitate smooth client appointments. Review documentation for completeness and compliance with company software. Provide administrative support by filing client records, managing appointment plans, and assisting with clerical tasks as needed. Communicate effectively with client regarding appointment details, follow-up instructions, and any necessary pre-visit information. Collaborate with staff to ensure optimal client flow and address any scheduling and document conflicts promptly. Requirements Proficient in typing and entering details into office software. Experience with typing and phone etiquette preferred. Strong computer skills including proficiency in Microsoft Office Suite and typing accuracy (40 wpm is a plus). Excellent phone etiquette and customer service skills to create a welcoming environment for clients. Previous experience in an office or office setting is highly desirable; familiarity with software is an advantage. Bilingual abilities are a plus to enhance communication with diverse client populations. Ability to work collaboratively in a team-oriented environment while managing multiple tasks efficiently. Strong attention to detail and organizational skills to maintain accurate records and schedules.
