Full Job Description AGENCY:
CIFHS is a private, non-profit mental health agency delivering high-quality, comprehensive, integrated primary and behavioral health services to the community through evidence-based practice and collaborative partnerships in the San Gabriel Valley area of Los Angeles County. The agency's mission is to promote the optimal emotional and physical well-being of adults, families, and children/youth through compassionate, knowledgeable, and respectful services that encourages personal growth and development, creates healing, and provides opportunities for positive change. Services are available to all, but especially to individuals who face financial, physical, social and psychological barriers to accessing care. Sober Solutions Program offers outpatient chemical dependency treatment to individuals, groups, and family counseling based on the philosophy that addiction is a treatable chronic illness and that recovery is possible. Monday, Thursday, Friday 8:30-5pm Tuesday and Wednesday 10:30-7pm Subject to change based on agency needsPOSITION
ADMINISTRATIVE TITLE:
RECEPTIONIST/OFFICE ASSISTANT REPORTS TO
OFFICE MANAGER The Receptionist/Office Assistant reports to the Office Manager and is responsible for providing telephone and in-person initial contact with new and existing clients, and for providing general clerical support services for CIFHS. As receptionist, you will demonstrate a sensitive and professional response to the needs of the clients and will be responsible for making new and existing clients feel welcomed and attended to. This position performs any and all job-related duties as assigned. Serve as both telephone and client receptionist following pre-established script to aid callers. Thoroughly documents referral information into the CIFHS EXYM and Department of Mental Health information systems. Maintains positive customer service at all times, referring unresolved issues to the office manager. Direct visitors and clients to the correct offices and programs. Assist clients with filling out various forms. Obtain copies of required forms and client signatures as clients present for intake. Collect and record payments from clients receiving General Counseling and any Chemical Dependency services. Directly responsible for clerical support services which includes correspondence, memos, reports, and other documents. Assist processing supply orders for various programs. Assist with room scheduling. Closing of CIFHS Offices on days assigned. Other duties and special projects as assigned. High School Graduation. Some college preferred. General secretarial experience and computer capability including use of Word and Excel. Bilingual in Spanish, preferred. Able to professionally answer the phone and conduct phone intakes. Able to work with people from a variety of diverse social and economic backgrounds. Able to work well with mental health clients, children and families in a sensitive manner. Able to work independently and adapt to change. Time management skills to prioritize and complete a variety of tasks throughout the day. Able to learn Electronic Health Records software, Exym.
