Full-time AGENCY:
CIFHS is a private, non-profit mental health agency delivering high-quality, comprehensive, integrated primary and behavioral health services to the community through evidence-based practice and collaborative partnerships in the San Gabriel Valley area of Los Angeles County. The agency's mission is to promote the optimal emotional and physical well-being of adults, families, and children/youth through compassionate, knowledgeable, and respectful services that encourages personal growth and development, creates healing, and provides opportunities for positive change. Services are available to all, but especially to individuals who face financial, physical, social and psychological barriers to accessing care. Sober Solutions Program offers outpatient chemical dependency treatment to individuals, groups, and family counseling based on the philosophy that addiction is a treatable chronic illness and that recovery is possible. MONDAY
  • FRIDAY A Medical Assistant is responsible for assisting Medical Providers in providing care to their clients.
Their duties include recording and updating medical histories and contact information in patient files, scheduling patient appointments and performing standard intake procedures. The individual represents the agency through networking with other agencies, individuals and institutions, specifically to meet the support needs of clients. This position reports to the Quality Assurance Director.
Specific Responsibilities:
1. Work to support and promote the agency's mission and vision. 2. Experience with obtaining and reviewing prior medical records. 3. Knowledge of and/or experience with medical terminology. 4. Understanding of law and ethics pertaining to medical practices. 5. Managing administrative tasks for the Medical Provider including correspondence. 6. Greet clients, answer any questions they may have, and assist them to fill out the required intake and/or billing forms. 7. Answering phone calls, directing the calls as required, and handling all inquiries. 8. Scheduling client appointments according to Medical Providers' and support staff availability, and communicating appointments to clients. 9. Informing the Medical Providers and other clinical providers about impending appointments. 10. Maintaining a filing system for all patient documents and reports submitted. 11. Answering emails and other electronic messages as required. 12. Transcribing all notes and documents related to treatments. 13. Electronically transmit new prescription and/or refills as directed and approved by Medical Provider. 14. Explaining treatment procedures to patients. 15. Explain next steps to client regarding the process for a referral, or to fill a prescription. 16. Update and file medical paperwork and record interactions related to each client. 17. Provide client advocacy as needed in order to ensure their medical needs are met. 18. Coding and filling out required documentation related to billing and payments. 19. Handle correspondence, billing, and bookkeeping as needed. 20. Assisting the Medical Provider during the exam as needed. Quality assurance responsibilities include the following: 21. Assists the QA Director in the coordination, evaluation and conducting of internal audits. 22. Oversee the monitoring of documentation compliance for DMH and DMC contracts and policies. 23. Orient Psychiatry staff to policies, procedures, and medication support activities including electronic records and prescription databases. 24. Meet monthly with the QA Director and the Head of Services to evaluate effectiveness of quality assurance for psychiatry and medication support services. 25. Other duties as assigned
Qualifications:
AA degree with Certified Medical Administrative Assistant certification, or Bachelor Degree in a related field with 2-years experience. Basic accounting and math skills. Strong computer, data entry and office management skills. Excellent verbal and written communication skills. Empathy and compassion to give support to patients/clients. Attention to detail and problem-solving skills.
