Job Overview We are seeking a dynamic and organized Full-Time Receptionist / Office Assistant to join our team! Responsibilities Answer and direct incoming phone calls in a professional and courteous manner Schedule appointments, service calls, job estimates, and work orders Greet and assist customers and visitors in person and over the phone Handle incoming and outgoing correspondence, including emails, mail, and packages Respond to customer inquiries and follow up as needed Process and collect customer payments accurately Order equipment and materials needed for installations Communicate with vendors and suppliers, and follow up on parts and deliveries Maintain accurate records and update scheduling systems Coordinate with field technicians and staff on scheduling and job updates Assist with general office tasks such as filing, data entry, and correspondence Provide excellent customer service and help resolve any customer concerns Skills Strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent typing skills with attention to detail for data entry, proofreading, and clerical tasks Strong communication skills with the ability to handle multi-line phone systems confidently Bilingual abilities are highly desirable to serve diverse client needs effectively (Spanish) Knowledge of office equipment operation such as printers, scanners, and fax machines Experience with administrative tasks like filing, calendar management, bookkeeping and customer support Demonstrated time management skills to prioritize tasks efficiently in a busy environment Join us in creating a welcoming atmosphere while supporting our daily operations!
