Job Description

Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience. Your enthusiasm, organizational skills, and ability to manage multiple tasks efficiently will contribute significantly to our office environment. This paid position offers an exciting opportunity to develop your administrative and customer service skills while supporting daily operations. Responsibilities Greet visitors warmly and professionally, providing excellent customer support and assistance. Manage multi-line phone systems, directing calls accurately and courteously. Handle incoming correspondence, including emails, mail, and packages, ensuring timely distribution. Maintain appointment calendars, schedule meetings, and coordinate office events with precision. Perform data entry tasks using Microsoft Office, Google Workspace, and other office management tools. Organize filing systems and maintain accurate records for easy retrieval and compliance. Support office management activities such as supply inventory, proofreading documents, and basic bookkeeping using QuickBooks or similar software. Qualifications Proven office experience with strong clerical skills and familiarity with front desk operations. Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Exceptional organizational skills with the ability to prioritize tasks effectively. Strong phone etiquette and customer service skills to handle inquiries professionally. Bilingual abilities are a plus to assist diverse client needs. Experience with multi-line phone systems, data entry, filing, proofreading, and calendar management is highly desirable. Previous roles such as medical receptionist or dental receptionist are advantageous but not required. Personal assistant or administrative support experience will be considered a strong asset.
