As our receptionist, you will play a crucial role in supporting the efficient functioning of our firm's operations. The ideal candidate will have exceptional organizational skills, strong attention to detail, and the ability to handle multiple tasks in a fast-paced environment. This position offers an excellent opportunity to contribute to the success of our firm and gain valuable experience in the legal field.
Responsibilities:
Provide reception support to the Operations Manager, and firm including calendaring and meeting coordination. Assist in managing daily office operations, including maintaining office supplies, equipment, and facilities. Organize and maintain electronic and physical files, ensuring accuracy and confidentiality. Coordinate communication between the Operations Manager, internal staff, and vendors. Collaborate with other departments to ensure smooth workflow and efficient communication. Handle incoming calls, inquiries, and correspondence, providing exceptional customer service. Undertake delegated tasks and assignments as directed by the Operations Manager.
Requirements:
Proven experience as a receptionist, or similar role. Strong organizational and time management skills, with the ability to prioritize tasks effectively. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Detail-oriented with strong problem-solving abilities. Ability to maintain confidentiality and exercise discretion. Ability to work independently and as part of a team. Familiarity with the legal industry and understanding of law firm operations preferred but not mandatory.
