We are looking for an experienced Front Desk Coordinator - Night Shift for two days in October to support a university environment. This Contract position is ideal for someone who thrives in a guest-facing role, keeps operations running smoothly during evening hours, and communicates with professionalism at every interaction. The person in this role will serve as the first point of contact for visitors and staff while providing dependable administrative support and maintaining an organized front office.
Responsibilities:
- Welcome students, visitors, faculty, and staff during the night shift, offering courteous assistance and directing them to the appropriate destination.
- Manage inbound phone traffic through a multi-line system, relay messages promptly, and provide clear and accurate information to callers.
- Oversee the reception area to ensure it remains orderly, presentable, and ready to support daily campus activity.
- Coordinate meeting and appointment schedules, keeping calendars updated and helping avoid conflicts or missed commitments.
- Process incoming and outgoing mail, shipments, and package deliveries with attention to accuracy and timeliness.
- Track office supply levels, organize materials, and arrange replenishment when inventory runs low.
- Enter information into records and files with precision, maintaining up-to-date documentation and accessible administrative data.
- Assist with routine clerical work, including preparing documents, scanning materials, and organizing physical and digital files.
- Provide support for visitor or onboarding coordination by helping with required paperwork and front desk logistics as needed.
