Job Description

Job Overview We are seeking a highly organized and proactive receptionist/Administrative Assistant to provide essential support within our team. The ideal candidate will be responsible for a variety of administrative tasks that ensure the smooth operation of the department. This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities effectively. Duties Manage phone systems, including answering calls, directing inquiries, and taking messages as needed. Oversee calendar management for client managers, shareholders, department meetings, appointments, and office related events. Provide clerical support by preparing documents, reports, and presentations. Support department managers and firm leadership by coordinating schedules, communications, and administrative priorities. Proofread documents for accuracy and clarity before distribution. Skills Excellent written and verbal communication skills. Strong organizational skills with exceptional attention to detail. Ability to manage multiple priorities and deadlines in a fast-paced environment. Proficiency in phone systems, Microsoft Office applications, and general office technology. Strong . Ability to follow established procedures and maintain accurate documentation. Professional and courteous client service skills, both in person and over the phone. Ability to work independently while collaborating effectively with a team. Strong client service and relationship management skills with a commitment to providing a positive client experience. Strong proofreading and quality control skills. Ability to maintain confidentiality and handle sensitive information with discretion. This position is ideal for a team-oriented individual who enjoys supporting others, collaborating with coworkers, and contributing to a positive office environment. The successful candidate is dependable, proactive, and willing to jump in where needed to help the team succeed. They communicate effectively, take ownership of their responsibilities, and understand that exceptional client service is achieved through strong teamwork and follow-through. Qualifications Proven clerical and administrative experience with strong organizational skills Proficiency in computer software and office suites (Microsoft Office, Google Workspace); excellent typing and data entry abilities Excellent customer service, phone etiquette, and front desk/multiline phone system familiarity Detail-oriented with proofreading capability and accurate filing Ability to multitask, manage calendars, and support office operations; prior dental receptionist or personal assistant experience is a plus Strong communication, time management, and office coordination skills Optional premium: QuickBooks experience and bilingual communication are a plus
