The Center's Office Receptionist serves as the operational heart and primary welcoming presence for our Center for Spiritual Living. This role blends hospitality, basic office coordination, and light data management to ensure that our 75-member community runs smoothly. The ideal candidate is warm, reliable, familiar with CSL values, and comfortable utilizing modern office technology. They will assist the Senior Minister manage the physical office space, coordinate volunteers, and facilitate smooth internal communications. Key Responsibilities 1.
Front Desk & Sunday Hospitality Welcoming Presence:
Serve as the first point of contact for members, visitors, Practitioners, and vendors during weekday office hours and Sunday mornings.
Reception & Inquiries:
Respond to phone calls, route emails, and distribute incoming mail.
Sunday Logistics:
Ensure the sanctuary, lobby, and hospitality/coffee stations are clean, organized, and stocked before the service begins. Guide and support Sunday usher and greeter volunteers.
General Administration:
Perform related administrative duties and special project support as required to ensure smooth center operations and ministry success.
Database Maintenance:
Update and maintain member contact details, attendance tracking, and visitor cards using church management software (e.g., Breeze or similar database). 2.
Communication & Digital Administration Sunday Materials:
Assemble and print weekly celebration service programs/bulletins, insert welcome cards, and manage prayer request forms.
Community Updates:
Assist the Spiritual Director with sending the weekly email newsletter and posting approved inspirational content or event alerts on the Center's social media pages.
Registrations:
Track sign-ups and handle light administrative tracking for classes, workshops, and specialized spiritual events. 3.
Facilities & Event Support Calendar Management:
Maintain the Center's master digital calendar, ensuring room reservations for classes, board meetings, and external rentals do not conflict.
Event Set-up & Breakdown:
Physically prepare rooms for services, classes, and special events. This includes lifting, moving, and arranging folding tables and chairs, as well as breaking them down and returning them to storage afterward.
Supply Tracking:
Order and replenish essential office, kitchen, bathroom, and sanctuary items (brochures, donation envelopes, hospitality coffee).
Facility Maintenance Alerts:
Act as the eyes and ears of the front office by alerting the Senior Minister or operations contact regarding the facility, safety, or cleaning needs.
Qualifications and Physical Requirements Warm and Aligned Presence:
Outstanding interpersonal skills with an inclusive, welcoming heart aligned with New Thought principles and the Centers for Spiritual Living Global Vision.
Technical Proficiency:
Comfort working with Google Workspace (Gmail, Drive, Calendar), Microsoft Office, and an aptitude for quickly learning database platforms and basic design tools like Canva.
Organization & Detail:
Self-driven ability to prioritize a multi-faceted task list within a 12-to-15-hour work week.
Physical Ability:
Capability to safely and independently lift, carry, fold, and maneuver tables, chairs, and event equipment up to 35 pounds on a regular basis.
Discretion:
Absolute commitment to maintaining the confidentiality of personal prayer requests, practitioner matters, and private member giving information.
Dependability:
Excellent punctuality and structural reliability, especially regarding fixed Sunday morning service hours. Casual business attire required. Work Environment This is an exclusively in-person, front-facing role requiring regular availability during scheduled weekday office hours and Sunday services. The Center Receptionist works directly at the main entrance desk, collaborating closely with the Senior Minister, ministry leaders, volunteers, and the congregation.
